About the Role

We are seeking a highly organized, proactive Executive Assistant to support the Owner of a growing residential construction and development company. This role is responsible for managing executive communications, schedules, project documentation, and administrative operations while helping keep multiple projects and priorities moving forward.

Responsibilities
  • Manage executive calendar, meetings, and travel arrangements
  • Coordinate calls, emails, and executive correspondence
  • Track action items, deadlines, and leadership follow-ups
  • Organize and maintain project documentation across multiple active projects
  • Assist with project coordination and administrative support
  • Prepare reports, spreadsheets, contracts, and proposals
  • Serve as a liaison between leadership, clients, architects, consultants, and vendors
  • Coordinate leadership meetings and company events
  • Develop and improve administrative processes and workflows
  • Anticipate needs and proactively solve problems before they arise
  • Assist with reviewing materials, tracking deliverables, and ensuring deadlines are met for Showcase/Parade of Homes initiatives.
Qualifications
  • 5+ years of Executive Assistant, Project Coordinator, Office Manager, or similar experience
  • Strong organizational, communication, and multitasking skills
  • Ability to work independently and manage competing priorities
  • Proficiency in Microsoft Office (Outlook, Excel, Word, PowerPoint)
  • Experience supporting senior leadership or business owners preferred
  • Construction, real estate development, or project management experience preferred
  • Experience with Buildertrend, Procore, or similar software is a plus
