DESCRIPTION:ย The Staff Support Specialistย assists the Government leadership in supporting resource management requirements.
RESPONSIBILITIES:
  • Coordinate and track all visit requests and requirements
  • Enter visitor request information into database within 1 business day
  • Develop Visit Agenda and coordinate/schedule meetings and briefings
  • Assist in managing Registrar actions
  • Receive and distribute actions from external organizations
  • Collect and document funding requirements and continually update/validate requirements
  • Establish and update email alias distribution lists
  • Track accountable materials and property
  • Coordinate Government leadership meetings to include scheduling rooms, inviting participants, distributing read-ahead materials and providing meeting minutes
  • Ensure action requirements and suspense dates are captured and communicated to required offices
  • Receive and consolidate input from different offices for leadership concurrence; send action responses
  • Maintain roster of Government personnel for recall purposes
  • Assist in identifying supply requirements
  • Receive supply orders and manage distribution and storage
  • Assist the Government in communicating the Government's Communications Strategy to facilitate information flow throughout organization to include budget and manager issues
  • Plan and coordinate events with local businesses, councils, and/or schools attended by personnel
  • Document all work flows/processes (i.e. SOP)
  • Receive and distribute actions from external organizations
  • Attend/facilitate all project meetings
  • Develop visit agenda for VIPs
  • Coordinate, enter, and track all VIP visit request information and requirements into existing database
  • Draft and maintain a Standard Operating Procedures (SOP) for Government functional administrative processes to include process automation
  • Meet Skill Level 2 on Microsoft Outlook, Word, Excel and PowerPoint
MINIMUM REQUIREMENTS:
  • A current & active Top Secret/SCI clearance and polygraph required
  • An Associate's Degree from an accredited college or university (Twoย (2) additional years of relevant experience may substitute for an Associate's degree)
  • At least two (2) year's experience supporting senior level staff processes and functions.ย 
  • Two (2) year's experience in the Intelligence Community (IC).
  • One (1) year experience processing travel requests in accordance with Joint Travel Regulations.
