Summary:


The Program Support Manager plays a critical role in supporting students, host families, and field staff by managing and resolving complex, time-sensitive on-program needs. This role takes an active, solutions-driven approach to mediation, problem-solving, and stakeholder support across Greenheart’s J-1 High School Program, FLEX/YES grants, and short-term inbound exchange programs.


The Program Support Manager serves as a key point of contact for a wide range of stakeholders (including international partners, participants, host families, schools, healthcare providers, and internal teams) ensuring clear communication, accurate documentation, and effective coordination. This role is also responsible for managing high volumes of correspondence, maintaining program quality, tracking data, compliance, and adherence to Greenheart and U.S. Department of State regulations.



Requirements, qualifications and skills:


Bachelor’s degree or equivalent professional experience preferred, with experience in a fast-paced, high-responsibility work environment; experience in program support, student exchange programs, case management, or other high-touch service roles preferred.


Proven ability to succeed in high-volume environments, managing large volumes of emails, cases, and competing priorities with accuracy and professionalism.


Strong problem-solving skills; curious, resourceful, and proactive in navigating complex or sensitive situations.


Excellent people and relationship-building skills, with the ability to build trust and work effectively with diverse stakeholders.


High emotional intelligence and professionalism, approaching others with tact, compassion, active listening, and the ability to balance differing perspectives.


Highly responsive, reliable, and accountable, particularly in time-sensitive or urgent situations.


Takes ownership and leads solutions, following issues through to resolution while maintaining flexibility and adaptability in changing environments.


Comfortable using the phone as a primary tool to resolve issues quickly, collaborate with stakeholders, and de-escalate concerns.


Exceptionally detail-oriented, with strong documentation skills, meticulous note-taking, and accurate recordkeeping to support program quality and compliance; proficient in Microsoft Office Suite (Word, Outlook, Excel, SharePoint, Teams).


Familiarity with U.S. Department of State J-1 visa regulations and exchange programs, or the ability to quickly learn and apply compliance requirements.


Summary of Responsibilities:


Provide timely support and resolution to participant, host families, and Local Coordinator (LC) inquiries and concerns.


Design and implement action plans for resolving escalated issues in line with Greenheart and DOS regulations.


Ensure program activities comply with U.S. Department of State regulations and internal policies, including validation, documentation, and incident reporting.


Provide clear, timely communication to stakeholders including participants, host families, field staff, schools, and international partners.


Oversee program logistics such as travel coordination, documentation, internal procedures, and support for Greenheart events and office functions.


Represent Greenheart at conferences and external meetings, build relationships with stakeholders, and deliver presentations to promote program understanding and support.
