Position Overview

The Deduction Analyst is responsible for the timely investigation and resolution of customer deductions, while ensuring financial accuracy and maintaining strong relationships with internal and external stakeholders. This role plays a critical part in identifying trends, reducing recurring issues, and supporting overall collections performance. The analyst will also support the maintenance of customer account data and drive process improvements across deduction management workflows.


Key Responsibilities

 

  • Research and resolve customer deductions, including spoilage, cash discounts, promotional programs, rebates, returns, freight claims, and other adjustments.
  • Manage customer chargebacks and issue credits for validated deductions in a timely manner.
  • Identify invalid deductions, collaborate with the Sales team to recover funds, and implement preventative measures to reduce recurrence.
  • Assist customers and internal departments by providing account support, troubleshooting issues, and maintaining accurate customer data (e.g., account setup, master data).
  • Generate monthly deduction and collections reports; assist with bad debt analysis and reconciliation activities.
  • Conduct root cause analysis to identify customer-specific deduction trends and provide insights and recommendations to management.
  • Contribute to ad hoc projects involving research, reconciliation, or process optimization initiatives.
  • Support the development of Key Performance Indicators (KPIs) and help document standard procedures for deductions and collections.
  • May be asked to perform additional duties as necessary.

Position Requirements

  • Bachelor’s degree in a business-related field or equivalent experience in a similar accounting or financial role.
  • 3 years of experience in Accounts Receivable or Credit; cross-functional exposure to those departments is acceptable.
  • Proficiency in accounting systems and advanced Microsoft Excel skills.
  • SAP S/4HANA knowledge preferred.
  • Internal Only: Experience with Community Coffee, even if unrelated, may fulfill this requirement at the discretion of the hiring manager with approval from Human Resources
