Role Overview

The Patient Outreach Manager is a working team lead responsible for running KCR's patient outreach call team across all active studies. You'll spend at least half your time on the phones with patients screening, scheduling, and following up while also managing and developing your team, maintaining accurate records in our CTMS, and using available tools to continuously improve outreach processes.

This is a hybrid role. You must be based at one of our Southern California clinic locations. The role requires up to 25% travel to physician offices and community centers.

Reports to: CEO Location: Anaheim, Long Beach, West Covina, or San Bernardino, CA

Key Responsibilities

  • Conduct patient outreach directly phone, digital, and community-based at least half of your working time
  • Manage and develop the Patient Outreach Coordinator team
  • Monitor team performance against enrollment targets and provide hands-on coaching
  • Use outreach tools and CTMS data to identify process improvements and keep pipelines moving
  • Build and maintain referral relationships with physician offices and community organizations
  • Coordinate with clinical teams to align recruitment pipelines with site capacity
  • Maintain accurate and complete recruitment records in the CTMS
  • Report enrollment status and team performance to leadership

Qualifications

  • 3+ years of patient recruitment experience in clinical research, preferably in a multi-site environment
  • Proven ability to lead a team and drive measurable results
  • Strong organizational and communication skills
  • Experience with CTMS platforms and digital outreach tools
  • Bilingual English/Spanish strongly preferred
  • Current GCP certification required
  • Valid California driver's license and reliable transportation

Compensation

Base salary: $70,304

Performance bonus: Tiered by study value, paid per study upon meeting enrollment targets. At 100% of target: $1,500 (low-value study), $3,500 (medium-value study), $8,000 (high-value study). A partial bonus is paid for reaching 80% of target. Tier assignments are made at the time of each study award.

In a strong year, total compensation typically reaches $100,000$115,000.
