Job Description eBilling & Collections Specialist: ProspectBlue has partnered with a full-service law firm serving clients across multiple practice areas, and is looking for a detail-driven billing professional to join their office in Richmond, VA. In this in-office, full-time role, you'll be the go-to resource for our electronic invoicing processes - making sure client billing requirements are met accurately and on time, every time. We're looking for someone who thrives on precision, juggles competing deadlines with ease, and takes pride in delivering top-tier service to both internal teams and outside clients.
What You'll Do Act as the firm's go-to resource for client-facing electronic invoicing platforms and their specific requirements Build and update client profiles within eBilling systems Oversee the full lifecycle of invoice submission - reviewing, sending, and tracking through completion Address and resolve rejected charges, disputed invoices, and reduced-payment situations promptly Vet requests to open, update, or close client matters for completeness and accuracy Draft and circulate draft bills for attorney sign-off before finalizing Handle adjustments to billing - corrections, reassignments, write-offs - based on guidance from attorneys and client specifications Produce, check, and send out finalized invoices across multiple delivery channels Compile reports and supporting documentation as requested Work cross-functionally with legal staff, clients, and the finance team to sort out payment discrepancies and account questions Track outstanding balances and contribute to broader collections and receivables efforts What We're Looking For A degree in a business, accounting, or finance-related discipline is a plus, though not mandatory 2+ years handling billing in a legal environment, with hands-on eBilling exposure Comfortable working in Microsoft's core office applications along with Elite or a similar legal billing platform Sharp communicator, equally comfortable corresponding with senior attorneys and outside clients A team-first mindset paired with high personal standards for accuracy and integrity Strong critical-thinking and organizational instincts, with clear written and spoken communication Self-directed with good instincts for prioritization and judgment calls Trustworthy with confidential material and discreet under pressure
