Job description

This role is responsible for supporting the estimating, project planning, project team support, and project coordination process by maintaining accurate project information, organizing bid and project documentation, and helping ensure proposals, schedules, resource plans, and project records are complete, current, and aligned with contract requirements. The position supports safe, high-quality project execution through detailed project scheduling for active projects, disciplined project tracking, manpower tracking support, purchase order review against contract scope, and coordination with operations, project management, business development, and field execution teams.

 Project Planning, Scheduling & Team Support

  • Provide project team support by coordinating project information, schedules, manpower needs, documentation, action items, and communication between estimating, project management, operations, business development, and field execution teams.
  • Maintain detailed project schedules for each active project, including major milestones, sequencing, crew/resource assumptions, manpower needs, schedule updates, and changes that may affect safe and efficient project delivery.

Estimating, Proposal & Contract Support

  • Support the development of complete, accurate, and competitive proposals by organizing RFP requirements, contract documents, specifications, assumptions, exclusions, pricing inputs, labor, materials, equipment, and specialty cost information.
  • Review purchase orders, contract terms, scope references, pricing structure, cost coding information, and related project documents to help confirm alignment between awarded work, contractual requirements, and project execution expectations.

Project Tracking, Manpower Tracking & Reporting

  • Track RFQ flow, awarded work, active project status, resource demand, manpower support needs, schedule status, and project progress to help support revenue expectations, new business forecasts, and operational workload planning.
  • Maintain project tracking tools, dashboards, schedules, cost tracking files, manpower planning support records, and project status updates to provide timely visibility to project managers and leadership.

Project Document Oversight

  • Provide project document oversight by maintaining proposal files, contract documents, purchase orders, project records, schedules, cost support files, project correspondence, vendor/subcontractor information, and closeout documentation in an organized and accessible manner.
  • Prepare professional project documentation, reports, summaries, and internal updates using Microsoft Office, Power BI, Microsoft Planner, Microsoft Project, and related business tools as applicable.

Quality, Risk & Continuous Improvement

  • Support internal quality control by ensuring estimate files, project support documentation, tracking records, schedules, manpower support information, and contract-related documents are complete, consistent, and aligned with internal standards.
  • Identify and flag potential cost, schedule, documentation, manpower, or contract alignment risks during estimating, planning, and project execution support activities.

Capture lessons learned, productivity trends, project tracking insights, cost references, and process improvement opportunities to strengthen future estimating, planning, scheduling, manpower tracking, and project support activities.

Requirements

  • High school or GED required, associate's degree preferred.
  • Required: Minimum two (2) years of experience working directly with Project Managers and Operational Teams in support of project planning, schedule management, manpower coordination, project tracking, project documentation, and project execution activities.

Required: Demonstrated experience maintaining project documentation, document control systems, project records, meeting minutes, project schedules, status reporting, action logs, decision logs, and project closeout documentation.

Required: Ability to support multiple active projects by keeping documentation current, organized, version-controlled, and aligned with project schedules, purchase orders, contract requirements, manpower plans, and project status updates.

  • Ability to review and organize contracts, purchase orders, specifications, project records, cost coding information, and project documentation to support estimating, planning, scheduling, and project execution activities.
  • Working knowledge of estimating support practices, project planning, schedule maintenance, cost tracking, project documentation, resource planning, and manpower tracking support.
  • Strong proficiency with Microsoft Office applications, including Excel and Word; experience with Microsoft Project, Microsoft Planner, Power BI, Power Automate, Power Apps, Microsoft Dynamics, or similar business tools preferred.
  • Familiarity with enterprise systems such as Deltek Costpoint or similar project, financial, CRM, or ERP systems preferred.
  • Prior experience supporting renewable energy maintenance, wind turbine services, construction, industrial services, or field service operations preferred.
