Job description

Position Summary
The Clinic Supervisor provides day-to-day operational and administrative leadership for a multidisciplinary outpatient clinic. This position oversees front desk/administrative staff, clinical staff, and other clinical support personnel. The Clinic Supervisor is responsible for ensuring efficient clinic operations, high-quality patient care, staff performance, regulatory compliance, and a positive patient experience. This position reports to the Regional Director of Clinic Operations and includes the following specialties: Dermatology, Allergy, Surgery, Urogynecology/Pelvic floor physical therapy, Pulmonary & OBGYN. Some travel may be required, with the central location in Milwaukee, WI.

Essential Responsibilities

  • Provide direct supervision and leadership to front desk staff, RNs, MAs, and other clinic support staff.
  • Oversee daily operations across multiple clinic departments and ensure effective coordination between administrative and clinical teams.
  • Maintain staffing schedules, assignments, coverage plans, and workflows to meet patient and operational needs.
  • Monitor patient flow from registration through discharge and identify opportunities to improve efficiency and reduce delays.
  • Partner with physicians, advanced practice providers, RNs, MAs, and administrative staff to ensure effective communication and coordinated patient care.
  • Assist in the recruitment, interviewing, onboarding, training, and evaluation of staff.
  • Establish performance expectations and address attendance, performance, conduct, and workflow concerns appropriately.
  • Ensure staff competencies and required training remain current.
  • Promote consistent adherence to organizational policies, clinical standards, and other applicable regulations.
  • Identify workflow issues and lead process-improvement and quality-improvement initiatives across departments.
  • Address patient complaints and service concerns and work with appropriate leadership to resolve complex issues.
  • Assist with facilitation of staff meetings and promote collaboration, accountability, and teamwork.
  • Serve as a communication link between frontline staff, providers, clinic leadership, and organizational administration.
  • Support implementation of new policies, procedures, technology, and organizational initiatives.
  • Maintain a professional, respectful, and patient-centered work environment.
  • Step into clinical or administrative functions as needed to support safe and efficient clinic operations.

Qualifications

  • High school diploma or equivalent required
  • Medical Assistant certification (such as CMA, RMA, or equivalent)
  • 35 years of Medical Assistant experience
  • Previous supervisory or lead experience preferred
  • Knowledge of clinical workflows, EMR systems, patient privacy, and healthcare regulations.
  • Strong communication, organization, leadership, and problem-solving skills
