KEY RESPONSABILITIES
Client Engagement & Support
Respond promptly and professionally to client inquiries while delivering a WOW client experience and maintaining high professional standards.
  • Coordinate transactions, including opening and closing accounts, transfers, deposits, and withdrawals.
  • Communicate transaction status updates clearly to clients and advisors.
Custodian Relationship Management
Act as the primary point of contact for our main custodians (Schwab and Fidelity) and secondary custodians (TIAA Cref, Nationwide, American Funds, 529 Plan providers, etc.).
  • Ensure compliance and resolve account servicing matters efficiently.
Administrative & Organizational Excellence
Maintain meticulous digital filing of client documents in Egnyte, adhering to internal naming protocols and SEC guidelines.
  • Schedule client appointments and assist advisors with meeting preparation.
  • Handle inbound phone calls, ensuring all calls are answered, screened, or transferred promptly and accurately.
Technology Integration & Data Management
Keep Salesforce CRM and financial planning software (eMoney/MyMoneyLife) up to date with client and prospect information.
  • Provide basic technical support to staff, troubleshoot software-related issues, and coordinate with vendors on updates and upgrades.
  • Uphold data privacy regulations and internal policies to safeguard sensitive client information.
Compliance & Regulatory Support
Complete compliance review action items and collaborate with the Chief Compliance Officer to perform periodic account reviews.
  • Prepare, submit, and track necessary paperwork to custodians.
Collaboration & Reporting
  • Team with clients' other advisors (e.g., attorneys, CPAs) to provide relevant documents and updates.
  • Identify opportunities for process improvements to enhance overall client satisfaction and operational efficiency.

What a Day May Look Like
One day you might be on the phone with a Schwab representative to expedite a time-sensitive transaction or account transfer, then spend the afternoon ensuring all client documents are perfectly organized in Egnyte. At any moment, you will be on the phone learning about one of our amazing clients who needs immediate help but also loves to share about the newest addition to their family. By the end of the week, you'll have collaborated with advisors on upcoming client reviews and even flexed your creative muscles to suggest a new workflow to help the whole team move faster.
