Brokerage Operations Manager - JLL

What this job involves:

JLL Retail Canada is seeking an exceptional Brokerage Operations Manager to lead the day-to-day operations of one of Canada's premier retail brokerage teams. As the operational backbone of a market-leading practice, you will ensure every listing, proposal, transaction, marketing initiative and client deliverable is executed efficiently and to the highest standard. Working closely with senior brokers, you will serve as the central point of coordination, creating systems, improving processes and delivering exceptional client service. This high-impact role offers the opportunity to build a long-term career with competitive compensation, performance-based bonuses and meaningful earning potential for individuals who take ownership and drive results.

What your day-to-day will look like:

  • Serve as the operational leader coordinating all brokerage activities, managing workflows and ensuring deadlines and priorities are consistently met across the team

  • Lead the onboarding and launch of new listing assignments, coordinating photography, marketing materials, brochures, proposals and accurate data entry into Salesforce and all marketing platforms

  • Manage transactions from listing through closing, preparing Letters of Intent, confidentiality agreements, commission agreements and coordinating document execution, critical dates and FINTRAC compliance

  • Own the accuracy and integrity of the team's Salesforce database, maintaining property, client, contact and transaction data while generating pipeline reports, dashboards and client reporting

  • Coordinate brokerage invoicing from draft through issuance, track outstanding invoices, professionally follow up on collections and liaise with JLL Accounting regarding payments and commissions

  • Develop, document and continuously improve operational workflows, identifying opportunities to leverage technology, AI and automation to enhance efficiency and client experience

  • Review all client-facing materials including proposals, Broker Opinion of Value reports and presentations for quality, consistency, accuracy and JLL branding compliance

Required Qualifications:

  • 3-5 years of experience in commercial real estate, brokerage operations, transaction coordination, project management or similar professional services environment

  • Exceptional organizational and project management skills with proven ability to manage multiple priorities and competing deadlines simultaneously

  • Outstanding written and verbal communication abilities with strong attention to detail

  • Advanced proficiency in Microsoft Office, particularly Excel, Word and PowerPoint

  • Experience working with CRM platforms (Salesforce experience preferred) and ability to maintain database accuracy and integrity

Preferred Qualifications:

  • Experience within commercial real estate brokerage, with retail real estate experience considered an asset

  • Salesforce administration experience and Adobe Acrobat proficiency

  • Experience with AI tools such as ChatGPT, Claude or Microsoft Copilot

  • Experience with project management software

  • Demonstrated ability to implement process improvements and create operational efficiencies

Estimated compensation for this position:

70,000.00 - 75,000.00 CAD per year

This range represents the estimated base salary and actual compensation may differ. Final base salary is determined by various considerations including but not limited to candidate qualifications, location, market conditions, and internal considerations. Some roles and employees may be eligible for discretionary bonuses, benefits, or other compensation.
