Position Overview

The Client Care Specialist serves as the first point of contact for prospective and current clients. This role is responsible for creating a positive client experience through excellent communication, professionalism, empathy, and attention to detail. The ideal candidate is friendly, organized, dependable, and genuinely enjoys helping people.

Key Responsibilities

• Answer and direct incoming phone calls in a professional and courteous manner
• Welcome clients and visitors to the office
• Conduct initial intake conversations with prospective clients
• Gather and accurately document client information
• Schedule consultations and appointments
• Maintain regular communication with current clients regarding case status and next steps
• Manage incoming and outgoing mail, emails, and office communications
• Maintain client files and ensure information is entered accurately into the case management system
• Assist attorneys and staff with administrative tasks as needed
• Follow up with potential clients and referral sources
• Help ensure every client receives outstanding service and support

Qualifications

• Previous customer service, receptionist, administrative, or client-facing experience preferred
• Excellent verbal and written communication skills
• Strong organizational and multitasking abilities
• Professional appearance and demeanor
• Ability to handle sensitive situations with empathy and discretion
• Proficiency with Microsoft Office and general computer systems
