We are actively seeking a Client Experience Manager to join a fast-paced, client-focused legal services environment. In this highly visible position, you will serve as the first point of contact for clients while managing the full intake and communication process. You will play a key role in creating a polished, supportive experience from the initial inquiry through engagement, ensuring every interaction reflects professionalism, care, and attention to detail.

What You’ll Be Responsible For
- Act as the primary contact for incoming client inquiries, delivering a welcoming and professional first impression
- Manage high-volume calls and schedule consultations using established intake procedures
- Conduct detailed client intake conversations and accurately record all relevant information
- Coordinate calendars, appointments, and follow-up communications to maintain a smooth workflow
- Prepare consultation invoices and support payment collection efforts as needed
- Maintain organized digital and physical client files with a strong focus on accuracy and confidentiality
- Assist in managing referral relationships, client outreach, and event coordination
- Track and maintain intake data, CRM records, and performance metrics for reporting purposes
- Support administrative projects that enhance office efficiency and client experience
- Ensure common areas, including reception and conference rooms, are consistently organized and presentation-ready
To Be Successful in This Role, You’ll Bring
- 2+ years of experience in a professional office or customer-facing environment
- Excellent verbal and written communication skills with a strong client service mindset
- Strong organizational and time management skills with exceptional attention to detail
- Ability to handle multiple priorities while maintaining accuracy and professionalism
- Proficiency with Microsoft Office, Google Workspace, and CRM platforms, or the ability to quickly learn new systems
- Demonstrated professionalism, sound judgment, and emotional intelligence
- Typing speed of at least 50 WPM
- High school diploma or equivalent required
