Job description

Scope
The Civil Project Coordinator provides essential support to the civil project team by coordinating project documentation, schedules, communications, and administrative workflows. This role plays a key part in maintaining project organization and momentum through the management of submittals, meeting minutes, action items, and document control, while facilitating effective coordination among clients, municipalities, and consultants.
Principal Responsibilities
  • Coordinate project deliverables, deadlines, and task tracking in support of the Civil Project Manager or Project Executive and design staff
  • Set up and maintain project files and folders, support document control and version management
  • Track and route incoming and outgoing project correspondence including RFIs, submittals, comments, meeting minutes, agency responses
  • Assist with permitting support including compiling applications, coordination of required forms, and tracking review status with AHJs/municipalities
  • Prepare agendas and meeting minutes; manage action item logs and follow-ups
  • Coordinate between consulting departments and maintain contact lists
  • Work with project managers to support quality workflows by assisting with checklists, review routing, and comment logs
  • Assist with proposal materials, project updates, and internal reporting as needed
  • Help coordinate plotting/printing (if applicable), shipping, and transmittals
  • Support timesheet and cost tracking tasks as assigned
  • Other duties as assigned in support of civil project delivery

Required Skills/Abilities
  • Strong organizational skills and attention to detail
  • Ability to manage multiple priorities and deadlines simultaneously
  • Professional written and verbal communication skills and a demonstrated ability to interface with clients, agencies, and internal teams
  • Familiarity with plan sets, project lifecycles, permitting, and submittal processes is a plus
  • Experience with civil/site projects preferred
  • Experience with document management systems and/or project management tools preferred
  • Basic understanding of CAD/GIS terminology and deliverables preferred
  • Experience coordinating with AHJs/municipal review processes preferred
  • Proficient in Microsoft and MS Office Suite including but not limited to Word, Excel, and Outlook

Education and Experience
  • Associate's degree in civil engineering, construction management, business, or similar preferred
  • 2 or more years of experience in project administration or coordination
  • Prior experience in the Architecture, Engineering and Construction industry preferred

Physical Requirements
  • Prolonged periods of sitting at a desk and working on a computer
  • Must be able to lift 15 pounds at times
