What is a catering admin?

Catering Admins, or Catering Administrators, are professionals who support catering operations by handling administrative tasks such as booking events, managing client communications, processing invoices, and coordinating logistics. They serve as a bridge between clients and catering teams, ensuring that all event requirements are met and that services run smoothly. Their role is vital in keeping catering events organized, efficient, and successful.

What are the key skills and qualifications needed to thrive as a catering admin?

To excel as a Catering Admin, you need strong organizational skills, attention to detail, and experience with event planning or hospitality, often backed by a relevant diploma or certification. Familiarity with catering management software, spreadsheets, and booking systems is commonly required. Outstanding communication, multitasking, and customer service skills help in managing client expectations and coordinating with vendors and staff. These abilities are crucial for ensuring smooth event execution, client satisfaction, and efficient administrative operations.

What are some common challenges faced by a catering admin and how can they be managed effectively?

As a Catering Admin, one common challenge is coordinating between multiple teams—such as kitchen staff, event planners, and clients—while ensuring all details are accurately communicated and executed. Managing last-minute changes in guest counts or menu preferences can also be demanding, requiring strong organizational and problem-solving skills. Staying proactive with clear communication, maintaining up-to-date checklists, and using event management software can help manage these challenges and keep operations running smoothly.

  • Make independent decisions while maintaining strong ethical standards consistent with company policy, rules, and the ability to maintain confidential information.
  • Prepare reports, maintain sales records, and assist with tracking department activity to support business operations and performance.

What We're Looking For

  • At least 1 year of experience in banquet operations or front office experience is helpful.
  • Must have strong organizational skills, with the ability to manage your own time and multiple accounts.
  • Knowledge of V1 and SalesForce is preferred.
  • Excellent verbal and written communication skills.
