DEPARTMENT OVERVIEWย 

The Multi-Yearย Campaignย team playsย a central roleย in UWGAโ€™s fundraising strategy, leading donor engagement, campaign execution, and philanthropic partnerships. The team works collaboratively across Development, Marketing, Finance, and Executive Leadership to align strategy, messaging, and operations in support of a multi-year aspirational giving campaign.ย 

JOB SUMMARYย 

The Assistant Director of Campaign Operations & Project Managementย is responsible forย the day-to-day execution and operational management of theย multi-yearย campaign.ย 

This role ensures the integrity of campaign data, manages project coordination and administrative workflows, and supports the delivery of campaign activities across all workstreams. The Assistant Director translates campaign strategy into execution byย maintainingย systems, tracking progress, and ensuring alignment across teams.ย 

CORE RESPONSIBILITIESย 

Campaign Data, CRM & Reportingย 

  • Own CRM data management, including tracking opportunities, activities, and donor recordsย 

  • Manage reporting workflows and generate recurring reports from CRMย 

  • Compile campaign data for dashboards and leadership reportingย 

  • Ensure all campaign data isย accurate, complete, and audit-readyย 

  • Track pledge schedules and donor statementsย 

  • Monitor gift processing timelines and coordinate with Accounts Receivableย 

  • Maintainย supporting documentation tied to gifts and pledgesย 

  • Lead reconciliation and audit processes across campaign systemsย 

Project Management & Coordinationย 

  • Support execution of campaign timelines and workplansย 

  • Track deliverables and ensure deadlines are met across teamsย 

  • Coordinate workflows across Development, Finance, Marketing, and Executive Officeย 

  • Maintain alignment between CRM, project management tools, and campaign deliverablesย 

Meetings, Scheduling & Administrative Coordinationย 

  • Schedule and coordinate meetings across internal and external stakeholdersย (including but not limited to Campaign Cabinet Meetings,ย cross-departmental meetings,ย etc.)ย 

  • Manage calendars, invitations, andย logisticsย 

  • Prepare and distribute agendas and pre-read materialsย 

  • Capture detailed meeting notes and summariesย 

  • Track and follow up on action itemsย 

  • Ensure continuity between meetings and deliverablesย 

  • Manage recurring meeting cadences and communication workflowsย 

Donor Engagement & Proposal Supportย 

  • Coordinate proposal development processesย 

  • Compile and organize supporting materials for proposalsย 

  • Maintainย donor tracking and engagement documentationย 

  • Support coordination of follow-ups and engagement touchpointsย 

Events & Campaign Executionย 

  • Coordinate eventย logistics, including scheduling, invitations, materials, and vendorsย 

  • Support speaker preparation and materialsย 

  • Manage event communications processes in collaboration with Marketingย 

  • Execute day-of eventย logisticsย 

  • Manage post-event follow-up and trackingย 

Documentation, Systems & File Managementย 

  • Maintain Teams folders and campaign file structuresย 

  • Ensure proper documentation storage, organization, and accessibilityย 

  • Manage version control for campaign materialsย 

  • Attach andย maintainย documentation across systems (CRM, files, etc.)ย 

  • Create andย maintainย tracking systems for campaign workย 

SOPs & Workflow Managementย 

  • Maintain and update standard operating proceduresย 

  • Ensure adherence toย establishedย workflowsย 

  • Support implementation of improved systems and processes
