Job description

Supervises plans, directs, and coordinates all Customer Service Associates in their daily tasks and responsibilities. The position has a primary responsibility for maintaining payroll, new hire and other business office functions to include, but not limited to files, reports, basic accounting and assisting the Executive Director/Administrator in daily activities and overall operating function of the residence.
Essential Duties:
  • Provides direct supervision of all Customer Service Associates including assigning daily tasks and scheduling. This includes hiring, training, coaching, staffing, performance evaluations, advancement and related supervisory duties as well as acting as manager on duty responsible for overseeing the day-to-day operations of the residence as required by the needs of the facility.
  • Provides and maintains customer service skills in accordance with company policy and procedures, takes messages from callers and ensures their delivery when required.
  • Orders materials, equipment, furniture, office supplies and similar in nature when either approved by the Administrator/Executive Director or is a normal function of the daily operation.
  • Assists Administrator/Executive Director with staffing process, placing employment ads, taking applications, and checking references.
  • Assist Sales Director with compiling information on competitor rates and services as directed.
  • Assists in the daily operation of the residence, when required by the Administrator/Executive Director.
  • Assists Sales Director in maintaining proper inventory of marketing materials as needed.
  • Prepares and forwards copies of administrative materials that are needed by the Administrator/Executive Director.
  • Processes documents for inclusion in associate file (e.g. new hire paperwork, change forms and insurance selection)

Education/Experience:
  • High school diploma or GED required.
  • Requires prior experience in an administrative or office manager role. Prefer experience with Microsoft Office to include Word, Excel, and Outlook.

Specific Requirements:
  • Must possess the ability to make independent decisions when circumstances warrant such action.
  • Must possess the ability to deal tactfully with personnel, residents, family members, visitors, government agencies/personnel and the general public.
  • Must be knowledgeable of laws, regulations, and guidelines pertaining to hospital and nursing facility administrative procedures.
  • Must possess the ability to plan, organize, develop, implement, and interpret the programs, goals, objectives, policies, and procedures, etc., that are necessary for providing proper administrative procedures and maintaining a sound operation.
  • Must possess a working knowledge of computers, input/output/retrieval data, etc.
