Job description

Summary:

The KOA Mailroom Coordinator is responsible for overseeing the day-to-day operational functions of the corporate office mailroom including in person departmental delivery. This includes the efficient, accurate and timely distribution of mail for the KOA Corporate Office, including expeditious processing of large shipments for KOA and other entities as assigned. Responsible for maintaining accurate accounts for billing of postage and shipping supplies. Required to maintain an efficient, clean and organized mailroom and shipping area. This role is full-time, 30 hours per week, Monday-Friday.

The Mailroom Coordinator demonstrates the ability to perform effectively in high-pressure environments while utilizing strong computer proficiency, written and verbal communication, and interpersonal skills. Works independently with minimal supervision and consistently meets deadlines in a fast-paced work environment.

Essential Duties and Responsibilities:

  • Sort and distribute all incoming mail, FedEx, and UPS packages while maintaining strong professional relationships with representatives from the United States Postal Service, FedEx, UPS, and other carriers to ensure efficient operations and high-quality service.
  • Process outgoing mail, packages and freight and trace shipments.
  • Prepare Canadian custom forms, freight bill of ladings, or other forms as needed.
  • Maintain inventory of KOA forms related to correspondence and shipping from various departments, and basic shipping supplies.
  • Facilitate in person postal operations at applicable post offices for bulk mail, etc.
  • Participate in and contribute to developing/streamlining processes and procedures.
  • Maintain postage meter funds.
  • Maintain supplies in conference center.
  • Maintain positive working relationships with all departments within the company.
  • Maintain confidentiality and act professionally with others.
  • Responsible for keeping the mailroom equipment clean and functioning and promptly reporting malfunctions.
  • Assist other departments with paperwork and/or projects when needed.

Required Education and Experience:

  • High School Diploma or GED
  • Unrestricted Montana Driverโ€™s License
  • 1+ yearsโ€™ experience in shipping and mailing, including experience with USPS, FedEx, and UPS
  • Typing and computer skills
  • Strong organizational skills and attention to detail
  • Self-starter with a strong work ethic

Preferred Education and Experience:

  • 2+ years direct experience
  • Corporate mail room experience

Physical Demands and Working Conditions:

  • Work is performed in an office environment and requires the ability to operate mailroom equipment, including standard office equipment/computer and keyboard.
  • Frequently lift and/or move up to 50 pounds independently; pushing, pulling, and reaching overhead.
  • Occasionally lifting and/or move heavier items with assistance or equipment; dexterity of hands and fingers.
  • Prolonged exposure to computer screens and artificial lighting.
  • Use of repetitive motion, standing, bending, sitting, lifting, and walking through the building.
  • Use of a pallet jack
  • Expected to drive to locations as directed, which requires close and distance vision, sitting, seeing and reading signs, traffic signals, other vehicles, etc. Travel occurs in all weather conditions, including extreme heat and cold.
  • Frequent in person interaction with KOA employees in various settings, where noise level is typically low to moderate, including office spaces.
  • Will experience occasional interruptions and shifting priorities.
