Job description

Physician Support Specialist

The Physician Support Specialist travels between Tampa and Riverview as needed and maintains effective and organized systems to ensure effective scheduling and timely patient flow. Provides a smooth and pleasant patient experience and ensures physician's office schedule is organized and efficient. This is an administrative role, NOT a clinical or Medical Assistant role.

Essential Responsibilities:
  • Coordinates Physician schedules to maximize efficiency between clinics, surgeries, meetings, and conference calls and administratively assists to keep Providers on task to ensure smooth workflow and continuity of appointments
  • Communicates effectively, professionally, and flexibly responds to constantly changing demands.
  • Triages telephone messages and returns calls to provide timely answers to patients / physicians / pharmacies / attorneys, etc.
  • Collaborates with coworkers, management, patients, visitors, and Physicians to achieve Practice goals.
  • Rooms, interviews, and transports patients via wheelchair making appointment and scheduling adjustments as required.
  • Addresses scheduling, authorization, and billing issues with an appropriate sense of urgency to ensure prompt and successful resolutions.
  • Performs other non-clinical duties as directed or assigned.
Qualifications:
  • High School Diploma
  • Minimum 2-3 years' experience working in an orthopedic spine practice, pain management center, clinic, or hospital
  • Bilingual (English/Spanish) a plus, but not required
  • Ability to reliably travel between Tampa and Riverview as clinic schedules dictate
  • Intermediate experience with AllScripts EHR and Microsoft Suite
  • Ability to download and use a multi-factor authentication (MFA) Authenticator application on personal mobile device as required for secure access to business-related systems and platforms
  • Works effectively both independently and as a team member with physicians, management, and other staff
  • Provides excellent patient care, exceptional customer service, and practices professional telephone etiquette
  • Utilizes good judgment, willingness to learn, analytical thinking, and problem-solving skills
  • Remains calm under pressure and manages time efficiently in a fast-paced, constantly changing environment
  • Possesses superior attention to detail, accurate typing skills, and collaborative verbal communication skills
  • Proficiency in Microsoft Office suite, AllScripts PM/EHR, and Phreesia software
  • Able to effectively understand, follow, and communicate oral and written instructions in English. Must read, write, and speak English fluently to ensure clear work-related communication and patient safety
Physical Requirements:
  • Ability to safely push and maneuver occupied wheelchairs up to 75 pounds of force.
  • Ability to occasionally lift up to 25 pounds.
  • Able to spend prolonged periods sitting at a desk while working on a computer, standing, walking, and navigating hallways, elevators, and outdoor walkways.
