FULL TIME

To assist the Dean of Learning Resources in completing all duties in the areas of responsibility; i.e., Library and Archives. Assumes responsibility to complete assigned projects as well as perform job duties associated with this position.

RESPONSIBILITIES
  • Initiates, organizes, and maintains confidential personnel files for all library faculty and staff. Verifies contract information for library faculty members as well as records and confirms their year progression in the pay grid. Collects, analyzes, and prepares data to justify salary increases, promotions, and the hiring of additional personnel for the department.
  • Answers phone calls for the dean. Accepts and opens the mail. Represents the areas reporting to this office to the public, students, and staff with polite professionalism.
  • Organizes and maintains all correspondence. Compiles lists of needed supplies and keeps the supply room stocked and neat. Submits purchasing orders of supplies needed.
  • Attends all training sessions sponsored by the University that pertain to the duties and responsibilities of this position.
  • Coordinates and schedules meetings, appointments, and conferences between the dean and faculty, staff, administration, students, and the general public.
  • Attends various meetings when requested by the Dean and takes minutes.
  • Analyzes past patron usage, modular class schedules, University events, etc., to prepare and publish library hours of operation throughout the year.
  • Handles logistics of booking conferences and events and making travel arrangements.
  • Maintains and updates the procedure manual and gathers various Library statistics for reporting.
  • Retrieves and returns patron-requested items from the Annex.
  • Assists the Associate Dean as needed.
  • Assists the Dean with special events, projects, and other duties as assigned.
COMPETENCIES

EDUCATION: Requires a high school diploma or GED, some college coursework preferred.

EXPERIENCE/SKILLS/ABILITIES:

  • Requires a minimum of 5 years of administrative/secretarial experience, 60 wpm, and computer experience to include Microsoft Word, Excel, and PowerPoint.
  • Ability to take minutes at meetings is required.
  • Excellent organizational, interpersonal, and multi-tasking skills are required.
  • Must be able to prioritize multiple tasks in an office environment with frequent interruptions.
  • Good customer service, mathematical, verbal, spelling, and grammar skills are essential.
  • Must be able to handle all types of situations confidentially and diplomatically.
  • Ability to meet people, work with students, faculty, and staff, and make sound decisions.
  • Maintains a high level of confidentiality at all times regarding both student records and internally sensitive information.
