Overview

The Procurement Compliance Specialist will be responsible for collaborating with the Compliance team to ensure company contracts are accurate at creation, invoiceable and payable by vendors, and easily receivable by operations teams. Supports the Field Purchasing team with verification of goods receipts for materials and services to ensure timely payment of supplier invoices. Follows and maintains processes and systems utilized by the company to perform procurement related tasks and functions.  Works collaboratively across the organization and actively supports the company’s values and beliefs.

Location: This is an onsite position, based at our office location in Fargo, ND or Clinton, IN.

Responsibilities

Essential Job Functions:

  • Promote and comply with all Company safety policies and procedures
  • Support the implementation of industry best practices and a mindset of continuous improvement
  • Evaluate processes and procedures and work with the Compliance Manager to develop the improvements for the proper execution, coordination, and payment of company contracts
  • Monitor contracts to ensure the company does not enter into an agreement with an external party which may harm the company’s policies and practices
  • Work with the Compliance Manager to develop and support a comprehensive vendor prequalification and setup system that will ensure the company is utilizing approved and preferred vendors
  • Coordinate with the Compliance Manager to develop and monitor the system for maintaining vendor prequalification’s while utilizing a vendor scorecard system to establish vendor KPI’s
  • Coordinate with the Procurement Managers and Compliance Manager on the company requisition system to ensure contracts have appropriate approvals at time of contract creation
  • Monitor and support life cycle completion of company issued purchase orders
  • Develop and improve the processes with the accounting team to build efficiency, improved communication and overall improvement of the invoicing and payment process
  • Lead weekly meetings with stakeholders to ensure procurement has alignment across the company
  • Work collaboratively with Field Buyers and Receivers to ensure timely and accurate receipt of goods and services onsite
  • Coordinate with commercial services, insurance, licensing and permitting to understand requirements and support procurement managers on the implementation of these requirements in company contracts
  • Develop processes and systems with the compliance manager for acquiring and analyzing data related to procurement life cycle that will improve procurement performance and provide feedback to operations
  • Other duties as assigned

Qualifications

Education and Work Experience Requirements:

  • Associates or Bachelor’s degree in supply chain, business, or construction management preferred
  • Three years of experience in procurement or business-related fields

Knowledge, Skills and Abilities Required:

  • Take reasonable care of your own and others’ health and safety and of those who may be affected by the day-to-day delivery of this role by taking personal responsibility for working toward the company’s Zero Injury principles
  • Strong data analysis and problem-solving skills
  • Strong computer skills and advanced knowledge of Microsoft office suite, especially Excel
  • Experience using industry specific software and data mining from Enterprise Resource Planning (ERP) software
  • Mastery of terms and used in the construction industry
  • Experience in developing procedures and standards related to procurement life cycle processes
  • Excellent collaboration abilities, including strong written and verbal communication skills
  • Ability to interact professionally with all levels within the organization as well as clients, subcontractors and suppliers
