Job description

HR Associate / HR Generalist

Compensation: $65,000–$75,000 Base Salary

Location: Naperville, IL

Position Overview

A growing organization is seeking an experienced HR Associate / HR Generalist to support the daily operations of its Human Resources department across multiple U.S. locations, including operations in Illinois, Texas, California, and New Jersey.

This is a hands-on HR position supporting HRIS administration, recruiting, onboarding, benefits, payroll preparation, employee records, compliance, workplace safety, training, and HR reporting.

The ideal candidate has 3–5 years of HR generalist or coordinator experience, is bilingual in Spanish and English, and is comfortable supporting employees and HR operations across multiple states. Experience within a manufacturing or distribution environment is strongly preferred.

Key Responsibilities HRIS Management
  • Maintain and manage the company's HRIS to ensure employee information remains accurate and current.

  • Process employee transactions, including:

    • New hires

    • Terminations

    • Promotions

    • Transfers

    • Compensation changes

  • Generate HR reports and assist with employee-data audits.

  • Maintain accurate HR documentation across multiple locations.

  • Experience with Paycom is strongly preferred.

Recruiting & Onboarding
  • Post open positions and assist with recruiting activities.

  • Schedule candidate interviews and coordinate candidate communication.

  • Support the complete new-hire onboarding process.

  • Complete I-9 verification and employee system setup.

  • Organize and facilitate new-hire orientations.

  • Ensure required onboarding documentation is completed and maintained.

Employee Records Administration
  • Maintain organized, accurate, and confidential employee records.

  • Ensure employee files comply with company policies and applicable legal requirements.

  • Support documentation consistency across multiple U.S. locations.

  • Handle sensitive and confidential employee information appropriately.

Benefits Administration
  • Support employee benefits administration.

  • Assist employees with benefits enrollment.

  • Process qualifying life events.

  • Support COBRA notifications and documentation.

  • Coordinate with HR leadership regarding employee benefits questions and changes.

Payroll & Timekeeping Support
  • Review and audit employee timecards for accuracy.

  • Monitor attendance-related issues.

  • Prepare payroll information for review and processing.

  • Identify discrepancies and coordinate necessary corrections.

  • Maintain accurate payroll and timekeeping documentation.

HR Compliance & Reporting
  • Maintain HR compliance documentation and records.

  • Support compliance with applicable employment regulations, including:

    • EEO

    • FMLA

    • ACA

    • I-9 requirements

    • Wage and hour laws

  • Assist with HR audits and documentation requests.

  • Help maintain consistent HR processes and compliance practices across multiple states.

Safety, Training & Development
  • Coordinate HR, safety, and compliance training sessions.

  • Maintain employee training records and track attendance.

  • Assist with workplace incident and accident reporting across company locations.

  • Gather witness statements, photographs, and supporting documentation during workplace investigations.

  • Maintain OSHA 300 and 300A logs in coordination with HR leadership.

  • Assign and track employee completion of Alchemy safety training.

  • Partner with HR and Operations teams to promote workplace safety and regulatory compliance.

General HR Support
  • Collaborate with HR Managers across multiple states on department initiatives.

  • Assist with maintaining consistent HR documentation and processes across facilities.

  • Support HR projects and process-improvement initiatives.

  • Provide additional HR administrative support based on departmental and organizational needs.

  • Assist with emerging HR priorities in a fast-paced environment.

Qualifications
  • Bachelor's degree in Human Resources, Business Administration, or a related field preferred, or equivalent professional experience.

  • 3–5 years of HR Generalist, HR Coordinator, or similar Human Resources experience.

  • Multi-state HR experience preferred.

  • Manufacturing and/or distribution industry experience preferred.

  • Bilingual Spanish/English required.

  • Proficiency with HRIS platforms; Paycom experience strongly preferred.

  • Proficiency with Microsoft Office and Google Workspace.

  • Working knowledge of HR practices and employment regulations, including EEO, FMLA, ACA, I-9, and wage and hour requirements.

  • Experience supporting recruiting, onboarding, benefits, payroll/timekeeping, employee records, and compliance.

  • Strong organizational skills and attention to detail.

  • Excellent written and verbal communication skills.

  • Ability to maintain confidentiality when handling sensitive employee information.

  • Proactive approach with the ability to manage multiple priorities in a fast-paced environment.

  • Ability to travel periodically to assigned facilities.

Schedule
  • Monday through Friday

  • 8:00 AM–4:30 PM

  • Flexibility outside normal working hours when required

  • Some travel to assigned facilities
