This role requires someone who can anticipate needs several steps ahead, remain calm under pressure, and seamlessly manage both business and occasional personal matters with the highest level of confidentiality. Personality fit is critical. We are looking for someone who is easygoing yet highly driven and Type A in execution — a relationship-builder who can interact effectively with a wide range of personalities while maintaining a low-ego, high-accountability mindset.

Key Responsibilities

  • Manage complex and ever-changing executive calendars, meetings, and priorities
  • Coordinate domestic and international travel arrangements, itineraries, and logistics
  • Serve as a gatekeeper and strategic partner to the CEO, prioritizing requests and communications appropriately
  • Prepare meeting materials, presentations, agendas, reports, and follow-up items
  • Anticipate needs proactively and ensure all tasks and projects are followed through to completion
  • Handle confidential business, financial, and personal information with discretion and professionalism
  • Coordinate internal and external meetings, events, and executive communications
  • Assist with special projects and operational initiatives as needed
  • Build strong relationships across all levels of the organization and with external stakeholders
  • Continuously look for opportunities to improve processes, efficiency, and executive support systems
Requirements:

Qualifications

  • 5+ years of Executive Assistant experience supporting C-level executives, preferably a CEO or founder
  • Experience operating in a fast-paced, high-growth, or entrepreneurial environment
  • Exceptional organizational skills and attention to detail
  • Strong written and verbal communication skills
  • Ability to prioritize independently and adapt quickly to changing circumstances
  • High emotional intelligence and professionalism
  • Proven ability to maintain confidentiality and exercise sound judgment
  • Proficiency in Microsoft Office Suite and executive scheduling/travel coordination
  • Bachelor’s degree preferred

Ideal Traits

  • Calm under pressure and unflappable during last-minute changes
  • Highly organized, structured, and execution-oriented
  • Proactive with an ownership mentality
  • Low ego, team-oriented, and receptive to feedback
  • Resourceful, polished, and solutions-driven
  • Relationship-focused with a white-glove service mindset
  • Naturally anticipates needs 2–3 steps ahead
