Job description

Position Overview

ARCOR is seeking a motivated and dependable Assistant to Project Managers to support our Project Management team in the plumbing and pipefitting industry. This position works directly with the Project Manager and plays a key role in supporting daily project operations, coordinating administrative tasks, obtaining quotes, assisting with billing, and helping ensure projects run efficiently.

This is an excellent opportunity for someone with general construction knowledge or plumbing/pipefitting experience who is looking to grow their career and expand their knowledge within the industry.

Responsibilities


ยท      Documentation Management: Organizing, filing, and maintaining project documents, including submittals, shop drawings, Requests for Information (RFIs), change orders, and contract documents using digital tools like Procore or PlanGrid. 

ยท      Scheduling and Coordination: Assisting in the development and maintenance of project schedules, tracking material deliveries and equipment orders, and coordinating with subcontractors and vendors to ensure timely site access and supply. 

ยท      Financial Tracking: Supporting cost management by reviewing subcontractor and vendor invoices, assisting with job cost entries, and helping prepare monthly progress billing or payment applications for owner approval. 

ยท      Site and Quality Support: Conducting daily or regular site visits to inspect progress, resolve minor field issues, ensure safety compliance, and take progress photos for status reports. 

ยท      Communication and Meetings: Facilitating weekly coordination meetings, preparing agendas and minutes, and acting as a liaison between the field superintendent, project manager, and office staff to relay updates and resolve issues. 

ยท      Closeout Preparation: Compiling Operations and Maintenance (O&M) manuals, tracking punch list items, and gathering final documentation required for project handover and financial closeout. 

  • Assist the Project Managers with daily project-related tasks and administrative duties
  • Request and follow up on quotes from vendors and suppliers
  • Utilize Microsoft Office Suite for reports, spreadsheets, correspondence, and project tracking
  • Perform additional duties as assigned by the Project Manager
  • Learn and develop knowledge of plumbing, pipefitting, and construction project management processes

Qualifications

Required

  • Monday-Friday in office 7:30am-4:00pm (can be adjusted an hour either way)
  • Minimum of 2 years of related post-secondary education and/or work experience
  • Examples include construction management, business administration, engineering coursework, construction administration, plumbing, HVAC or related fields
  • General construction knowledge and/or plumbing and pipefitting knowledge
  • Strong knowledge and proficiency with Microsoft Office Suite (Word, Excel, Outlook, etc.)
  • Ability to work effectively in a team environment
  • Strong organizational and communication skills
  • Willingness to learn and adapt to a fast-paced construction environment
  • Dependable, punctual, and professional
  • Valid driver's license
  • Must be approved as an authorized driver by the Company's insurance carrier

Preferred

  • Previous experience in construction administration, project coordination, estimating, plumbing, pipefitting, HVAC or related fields
  • Experience working with contractors, suppliers, or construction projects

Compensation & Benefits

  • Starting salary of $45,000 per year
