Job description

ASSISTANT PROJECT MANAGER

This individual will work closely with project managers, internal teams, vendors, and electrical contractors to ensure projects are completed on time, within scope, and according to specifications. This role requires strong communication, problem-solving skills, and the ability to manage multiple tasks and priorities effectively.

Key Responsibilities:

  • Assist the project manager with daily operations and tasks related to each assigned project.

  • Monitor project progress and communicate updates to project managers

  • Maintain accurate records of project details, including timelines, budgets, and resources.

  • Prepare project status reports and presentations for internal and external stakeholders.

  • Ensure all project documentation is up-to-date, organized, and easily accessible.

  • Assist in managing relationships with vendors, suppliers, and subcontractors to ensure the timely delivery of materials and services.

  • Track orders and deliveries, ensuring products are received on time and meet required specifications.

  • Help resolve any issues or discrepancies with suppliers and vendors.

  • Coordinate transportation and delivery schedules for products and materials to ensure smooth distribution.

  • Schedule and track meetings, site visits, and deliveries to ensure seamless execution of project activities.

  • Assist in facilitating meetings, including preparing agendas and taking meeting minutes.

  • Assist in tracking project budgets and ensure that any budget discrepancies are reported to the project manager promptly.

  • Address client and stakeholder inquiries, escalating issues when necessary.

  • Assist in identifying potential project risks and issues, and support the team in mitigating these challenges.

  • Help resolve day-to-day operational issues related to project activities.

  • Escalate more complex problems to project managers or other relevant teams.

  • Ensure that project activities meet quality standards and are in line with company and industry best practices.

Qualifications

Education:

  • High School Diploma or GED

  • Bachelor’s degree in Business Administration, Supply Chain Management, or a related field preferred.

Experience:

  • Minimum of 1-2 years of experience in project coordination or order management, preferably in wholesale distribution.

Skills:

  • Strong organizational and multitasking abilities.

  • Excellent written and verbal communication skills.

  • Proficiency in Microsoft Office Suite (Excel, Word, PowerPoint)

  • Ability to work collaboratively with various teams and stakeholders.

  • Problem-solving skills and attention to detail.

Knowledge:

  • Understanding of wholesale distribution processes and supply chain management.
