Assistant Project Manager — Job Description

Role Summary

The goal of an Assistant Project Manager (APM) is to support the Lead Project Manager in executing installation projects so that each job finishes to the customer’s satisfaction, on time, and on budget.
In this role, the APM will also be trained and developed toward full Project Manager responsibilities by working on projects of increasing scope and complexity.

1. Job Setup

After receiving project files from Engineering, the APM will:

  1. Assist with initial site surveys.
  2. Record and coordinate all critical contacts, milestones, and project timelines.
  3. Review engineering drawings, quotes, and acknowledgements for accuracy before distribution.
  4. Help identify long-lead materials and alert the Lead PM of any supply-chain concerns.
  5. Maintain a job kickoff checklist and ensure required documents (building drawings, site photos, customer requirements, RFIs) are collected.
  6. Help organize project files and set up digital folders in CRM/shared drives.

2. Project Management & Coordination

  1. Coordinate contractor pay applications and invoicing.
  2. Follow up with customers for drawing approvals and outstanding action items.

3. Installation Phase

  1. Serve as onsite liaison for contractor projects requiring an onsite manager.
  2. Make local material deliveries to job sites when needed.
  3. Pre-confirm site readiness with customers (power availability, obstructions, floor conditions).

4. Job Close-Out

  1. Provide Sales and customers with completed load test certificates.
  2. Prepare and submit final contractor close-out paperwork.
  3. Complete / verify completion of punch list and project closeout items

Key Performance Areas

  1. Build and maintain strong relationships with installation crews.
  2. Proper organization and storage of all project documentation.
  3. Proficiency with computer-based tools such as Microsoft Word and Excel (additional familiarity with Smartsheet, Teams, CRM is a plus).
  4. Effective project and time management skills.
  5. Strong verbal and written communication.
  6. Ability to manage multiple tasks, deadlines, and stakeholders.
  7. Reliability, follow-through, and attention to detail.
