Admin & Event Coordinator (Conference Support)

Are you highly organized, detail-oriented, and energized by coordinating large-scale events? Our client is seeking an Admin & Event Coordinator to play a key role in supporting conference planning, communications, and day-to-day event activities.

This fast-paced position is ideal for someone who enjoys balancing administrative support, event logistics, communications, and technology while ensuring a seamless experience for conference attendees, speakers, sponsors, and exhibitors.

What You'll Do

  • Manage and maintain conference registration in Cvent, including registration paths, pricing, business rules, and session selections.
  • Test registration workflows and troubleshoot registration issues, broken links, and system errors.
  • Monitor the conference inbox and respond to attendee questions regarding registration, hotels, and event logistics.
  • Track registrations, maintain accurate attendee data, and prepare weekly registration reports.
  • Coordinate hotel rooming lists by working with hotel partners and managing updates within Cvent.
  • Support speaker logistics by tracking biographies, headshots, and registration status.
  • Assist with conference agenda and session setup within Cvent.
  • Coordinate sponsor and exhibitor registration and communications.
  • Draft and distribute conference communications using Cvent and Mailchimp.
  • Track project deadlines and follow up with internal teams, speakers, vendors, and partners.
  • Provide CRM updates, internal communications support, and general administrative assistance as needed.

  • Experience with Cvent is preferred.
  • Familiarity with CRM systems and email marketing platforms such as Mailchimp.
