Summary

The Project Management Supervisor has two primary job functions: to support a limited portfolio of high-touch accounts and to lead a team of one to four Project Managers, Senior Project Managers, or Project Assistants within the Business Operations department. This role is responsible for maintaining internal project management standards, developing direct reports through coaching and professional goals, and contributing to cross-departmental process improvement. The Project Management Supervisor serves as a key connection point between individual contributor execution and Business Operations leadership, supporting departmental training, process documentation, and the rollout of AI-enabled workflows across the team.

Essential Duties and Responsibilities (Other duties may be assigned)

  • People Management: Lead a team of one to four direct reports as their day-to-day coach, advocate, sounding board, problem solver, and teacher. Conduct regular one-on-ones, maintain and activate Growth Trackers, identify individual training needs, and know when to escalate account, company, individual, or conflict-resolution matters to BOPS leadership.
  • High-Touch Account Oversight: Serve as the expert Project Manager on a limited portfolio of high-touch accounts, managing processes, systems, documents, timelines, assets, billing, and cross-functional relationships. Act as the detail-level counterpart to Account Directors on assigned accounts.
  • Unassigned Account PMO Coverage: Maintain Coegi PMO structure on accounts without a dedicated Project Manager. Coordinate order processing, support account teams with unique or ad-hoc project requests, and provide oversight of billing accuracy and budget actualization on these accounts. Triage incoming needs, solve problems in real time, and pull in additional PMO resources when a request exceeds standard coverage.
  • Departmental Training: Lead and develop departmental training in coordination with other department leaders, including planned skill trainings per the Talent Triangle, work showcases, and ASAP trainings when a system, process, or retrain need is identified. Support onboarding of new department members.
  • Process & Best Practice Development: Implement and maintain project management best practices, templates, tools, and internal reference guides within the Business Operations department. Contribute to the creation and update of company and BOPS processes, asking what can be removed before what should be added, and working with other departmental leaders as needed.
  • Cross-Departmental Collaboration: Maintain working relationships with counterparts in Client Engagement, Digital Operations, and Data & Technology. Bring a collaborative, big-picture, diplomatic posture to cross-functional conversations on behalf of the business and the team.
  • Supervisory Operations: Own account-assignment, project-ideation, departmental-training, and process-improvement decisions for the team in coordination with BOPS leadership. Approve direct reports' PTO and work-from-home requests in line with department policy. Escalate extended PTO, terminations, PIPs, and compensation matters to the VP of Business Operations.
  • AI Enablement Across the Team: Partner with Marketing & Innovation and BOPS leadership on the rollout of AI-enabled workflows (including Claude-powered skills) within direct reports' day-to-day work. Track adoption, share lessons learned, coordinate ASAP retrainings as tools evolve, and ensure new team members are onboarded to current AI standards.
  • Certifications & Continuing Education: Maintain working-knowledge certifications across Coegi's primary media buying platforms and project management tools. Model continuous learning for the team.

Supervisory Responsibilities

Directly supervises one to four employees in the Business Operations department, which may include Project Assistants, Project Managers, and Senior Project Managers. Carries out supervisory responsibilities in accordance with the organization's policies and applicable laws. Responsibilities include interviewing, hiring, and training employees; planning, assigning, and directing work; appraising performance; rewarding and disciplining employees; addressing complaints and resolving problems. Communicates and coordinates with account leads and other departmental supervisors to manage cross-team workload and output for assigned clients.

Qualifications - To perform this job successfully, an individual must be able to perform each essential duty satisfactorily.   • Three to five years of project management experience, preferably within an agency environment, with day-to-day digital campaign management, programmatic bidding, and social advertising experience.
  • Licenses / Certifications: Working toward or has received a PMP certification.
  • Advanced experience with project management tools and time tracking systems.
  • Demonstrated experience with paid media platforms such as The Trade Desk, DV360, Google Ads, Meta Ads Manager, and LinkedIn.
  • Familiarity with trafficking third-party creative tags and implementing tracking pixels.
  • Superior skills with Microsoft Office Suite and Google Workspace.
  • Demonstrated mentorship or informal leadership experience.
  • Comfort using agency-supported AI tools and enabling adoption across direct reports.
  • Exceptional written and verbal communication skills.
