Job Title: Assistant Business Manager - Glendale Office

Division/Section/Unit:Administration/Business staff

Job Summary: We are seeking an organized and detail-oriented Assistant Business Manager who will join our business staff and assist us in supporting a busy small-business in the legal field. You will act as the first point of contact for clients, maintain confidential case files, schedule and manage partner calendars, and assist the Business Manager to ensure smooth business operation. The ideal candidate thrives in a fast-paced environment, possesses strong communication skills, and attention to detail.

Duties and Responsibilities

  • Answer incoming calls and conduct preliminary screening for prospective clients
  • Schedule meetings for Partners and Business Manager
  • Process, scan, and log daily incoming mail in a timely manner
  • Process client documentation into hard files as well as electronic files
  • Assist with basic bookkeeping duties: data entry, client related expenses, prepare reports and spreadsheets
  • Tracking of client archive system for retrieval of information and scheduled shredding
  • Maintain and ensure office equipment is functioning properly and office supplies are maintained
  • Ensure appropriate licenses, insurance renewals, etc. are tracked and renewals are completed in a timely manner
  • Develop and assist in improving office procedures
  • Assist Business Manager and Partners with special projects
  • Cross-train and work with current Business staff to provide seamless support for all staff within the firm

Preferred Qualifications / Experience: Demonstrated knowledge of the skills required for the day-to-day administration of a small business. Must be proficient with Microsoft Office Suite and Teams applications. Preferred experience with QuickBooks. A satisfactory background check is a pre-requisite for all positions within the firm.

Education or Equivalence: The ideal candidate has a high school diploma with 3 to 5 years of business office experience, is a highly-organized individual, who can problem-solve, take initiative as well as direction, and works well independently as well as part of a team.

Compensation: Full Time/Hourly starting - $25 to $27 per hour; paid time off (vacation and sick time), medical, dental, vision, and supplemental plans (after two full months), and IRA matching plans (after two years of employment).
