Executive Assistant

Summary/Objective

The Executive Assistant is responsible for managing the day to day operation of the Executive Suite, managing calendars and tasks assigned by the President, Chief Financial Officer and Chief Operating Officer, preparing meeting materials and minutes for various meetings, preparing administrative reports, handling sensitive customer issues and providing back-up support for the CEO Executive Assistant.

Primary Functions
1. Understand the Bank’s vision, organizational structure, employee handbook, bank security, policies and procedures and standards of conduct.

2. Under limited supervision, perform various administrative services of a complex, technical or specialized nature.

3. Gather information, prepare reports for informational budgetary and planning purposes.

4. Monitor expense reports.

5. Handle complex and/or sensitive inquiries/information.

6. Answer telephone calls and sets proper priority for distribution.

7. May administer staff programs with assistance from high level staff.

8. Perform complex secretarial and administrative duties for executive and staff.

9. Coordinate and plan management events.

10. Direct the preparation and maintenance of reports as necessary to carry out functions of the area. 11. Prepare periodic reports to senior/executive management as necessary or requested.

12. Schedule appointments, take and relay messages, gather and provide information as requested.

13. Compose, edit and prepare business correspondence.

14. Assist in researching information, compiling data, and handling a variety of projects efficiently.

15. Assist bank personnel efficiently, effectively and tactfully.

16. Assist other Bank Executives as needed, i.e. special projects, etc.

Secondary Functions

1. Develops and produces a variety of reports including but not limited to management reports.

2. Attend community functions to represent the Bank.

3. Performs other duties as assigned.

4. Cross-train with CEO Executive Assistant to ensure department stability.

This position has no supervisory responsibilities.

Work Environment

This job operates in a professional office environment. This role routinely uses standard office equipment such as computers, phones, photocopiers, fax machines and various filing systems.

The physical demands described here are representative of those that must be met by an employee to successfully perform the essential functions of this job.

While performing the duties of this job, the employee is regularly required to talk or hear. This is a largely sedentary role, requiring use of typical office equipment such as a computer and phone; however, occasional bending, stooping, and stretching may be required as well as the ability to lift up to 10 pounds. The employee frequently is required to use hands to finger, handle, or feel and reach with hands and arms. Specific vision abilities required by this job include close vision and ability to adjust focus.

Position Type/Expected Hours of Work
This is a full-time position. Days and hours of work are Monday through Friday, 8:00 a.m. to 5 p.m.

Travel
Minimal travel is expected for this position.

1. Bachelor’s degree or equivalent experience.

2. Generalist background with broad knowledge of organizational planning.

3. Exceptional administrative skills.

4. Three to five years’ administrative assistance experience.

5. Superior interpersonal abilities.
