Overview
XBOX is seeking an Executive Business Administrator to support the Office of the Chief Executive Officer (OCEO). The successful candidate thrives, working both independently and collaboratively, brings exceptional organizational and communication skills, and can effectively manage multiple high-impact workstreams in a demanding, fast-paced, highly visible, and fluid environment. This role requires executive maturity, sound judgment, discretion, attention to detail, and a commitment to enabling the success of the CEO, the executive office, the leadership team, and the broader organization. This role will serve as a member of the admin community and actively support org-wide initiatives.
The successful candidate will possess the ability to complete work quickly with little to no guidance, react and respond with appropriate urgency to situations that require a quick turnaround, and take effective action without always having the total picture.

Responsibilities
  • Assist in complex calendaring to ensure accurate scheduling and time management.
  • Work closely with the OCEO on managing the rhythm of business planning and scheduling to ensure coordination of commitments and priorities.
  • Manage procurement and expenses for OCEO in a compliant and timely manner.
  • Coordinate catering for meetings and events.
  • Coordinate leadership team offsites, gatherings and Town Halls.
  • Backup support for the Executive Assistant to the CEO.
  • Provide administrative support to the Chief of Staff and the OCEO.
  • Co-manage private conference room calendars and audio/visual (A/V) needs.
  • Manage replenishment of OCEO snacks.
  • Coordinate travel as needed and ensure compliance with Microsoft travel policies, international travel requirements, and relevant travel tax guidance.
  • May provide onsite support for major business moments, industry events, or leadership engagements as needed.
  • Help manage office space and facilities for the OCEO and the broader leadership team.
  • Help foster a fun, collaborative environment across the admin community, as well as participate in hiring, training and coaching admins.
  • Provide administrative support to our leadership team, filling gaps as needed.
  • Arrange team morale events and support team building activities.
  • Available to help with tasks and projects, as needed.

Qualifications
  • 7+ years of administrative experience in an environment with an emphasis on executive calendar management, meeting logistics, travel management, and administrative operations for executive-level management.

Preferred Qualifications
  • Flexibility to be available as needed outside of the office and the ability to provide immediate response to all forms of communication.
  • Provin organizational, analytical, anticipatory, and communication skills.
  • Assertive while demonstrating a high level of integrity and consistently demonstrate a positive can-do attitude with the ability to maintain the confidentiality of highly sensitive material with professionalism.
  • Ability to work effectively under pressure with short time constraints and in relatively ambiguous and complex situations, as well as the ability to adjust direction in a fluid work environment.
  • Ability to work successfully in a team environment, build effective working relationships internally and externally with varying levels of collaborators, and accommodate working styles and perspectives of diverse individuals and groups.
  • Ability to make independent decisions and juggle multiple tasks and projects.
  • Solid project management and problem-solving skills.
  • Knowledge of corporate organizations and the ability to navigate it and knowledge of corporate and organizational business practices, policies, and tools is required.
  • Proficiency in Microsoft software and tools.
  • Experience leveraging AI tools and technologies to improve productivity, operational effectiveness, communication quality, and executive support workflows.
  • BS/BA degree preferred.

Business Support ATR-E - The typical base pay range for this role across the U.S. is USD $33.89 - $67.16 per hour. There is a different range applicable to specific work locations, within the San Francisco Bay area and New York City metropolitan area, and the base pay range for this role in those locations is USD $45.67 - $73.65 per hour.
