OFFICE MANAGER AND BOOKKEEPING COORDINATOR

Carrollton, Georgia
Full-Time

Vision Realty and Management is looking for an Office Manager and Bookkeeping Coordinator to keep our Carrollton office organized, responsive, and financially accurate.

This is a hands-on role combining front office management, administrative support, and bookkeeping. You will be a primary point of contact for residents, owners, vendors, and visitors while also helping keep our financial records clean and current.

ABOUT THE ROLE

Responsibilities include:

  • Manage the front desk, visitors, calls, mail, deliveries, and office needs
  • Assist residents, owners, vendors, applicants, and team members
  • Receive and route payments, documents, keys, notices, and other materials
  • Support Property Managers with scheduling, records, and administrative tasks
  • Manage Accounts Payable and Accounts Receivable
  • Review rent postings, tenant charges, payments, and security deposits
  • Process and code vendor invoices and company expenses
  • Maintain tenant, vendor, property, and owner records
  • Complete bank and account reconciliations
  • Research missing, duplicate, or incorrectly coded transactions
  • Support monthly reporting, owner statements, and recurring accounting cycles
  • Assist with audits, account reviews, and financial cleanup projects

We want someone who does more than process tasks. If something looks wrong, investigate it. If a process keeps creating errors, help improve it.

MINIMUM REQUIREMENTS

  • 3 or more years of experience in office administration, bookkeeping, accounting support, or a similar role
  • Experience with Accounts Payable, Accounts Receivable, reconciliations, and financial recordkeeping
  • Proficiency with Excel or Google Sheets
  • Strong attention to detail and organization
  • Strong communication and customer service skills
  • Ability to manage interruptions and competing priorities
  • Ability to work independently and follow through

PREFERRED EXPERIENCE

  • Property management or real estate
  • Propertyware, AppFolio, Buildium, or similar software
  • QuickBooks
  • Tenant and owner ledgers
  • Security deposit accounting
  • Rent collection and delinquency
  • Vendor invoicing
  • Trust accounting
  • Office management or front desk experience
