What are the key skills and qualifications needed to thrive in Estate Staffing, and why are they important?

To excel in estate staffing, you need experience in hospitality, property management, and household operations, often with a background in luxury service or private household environments. Familiarity with scheduling software, smart home systems, and possibly certifications in household management or hospitality can be highly beneficial. Discretion, attention to detail, excellent communication, and adaptability are crucial soft skills for building trust and ensuring seamless service. These abilities are vital for maintaining high standards, protecting privacy, and delivering personalized support in demanding estate settings.

What is the difference between Estate Staffing vs Housekeeper?

Estate Staffing encompasses a range of roles including housekeepers, butlers, and personal assistants, often requiring diverse skills and experience. Housekeepers focus primarily on cleaning and maintaining the household. While both work in private homes, estate staffing roles are broader and may involve managing multiple household staff, whereas housekeepers specialize in domestic cleaning and upkeep.

What are some common challenges faced by estate staffing professionals, and how can they be managed effectively?

Estate staffing professionals often navigate unique challenges such as maintaining discretion, adapting to the preferences of principals, and balancing multiple responsibilities like scheduling, household management, and vendor coordination. Success in this role requires strong communication skills, flexibility, and the ability to anticipate needs in a fast-paced environment. Building trust with both employers and fellow staff members is essential, and ongoing professional development can help staff stay current with best practices and industry standards.

What is estate staffing?

Estate staffing refers to the process of hiring and managing staff members who work in private residences or estates. These professionals can include housekeepers, chefs, butlers, nannies, estate managers, and groundskeepers, among others. The goal of estate staffing is to ensure the smooth and efficient operation of a household or property, often tailored to the needs and preferences of the estate owner. Agencies or specialized recruiters often help match qualified candidates to these unique roles. Proper estate staffing can enhance the quality of life for the estate's residents and maintain the property to the highest standards.

Job description

Estate Manager Aspen, Colorado | Full-Time | $180,000–$200,000

This role is open nationwide, but we're looking for someone who already understands mountain living - ideally the Aspen area - and can step in without a learning curve.

THE ROLE

A private family with two adjacent properties in Aspen is looking for a senior-level Estate Manager to take full ownership of their homes. This isn't a position where you wait for direction. You see what needs to be done, you handle it, and you hold the standard whether the family is there or not.

The properties are occupied selectively throughout the year, which means the job doesn't pause between visits. When the family arrives, everything is ready. If you take genuine pride in a home that runs without anyone noticing the effort, this role was built for you.

RESPONSIBILITES

  • Serve as the single point of accountability for all operations, maintenance, and hospitality across the properties
  • Manage household staff and a trusted network of vendors and service providers
  • Keep the homes guest-ready at all times - prepared to welcome the family and their guests with minimal notice
  • Oversee all preventive maintenance and small repairs across both residences
  • Manage operating budgets, approve invoices, and report regularly to the Director of Estate Operations
  • Maintain estate vehicles and all personal property on-site
  • Coordinate security systems and protocols with the family's security provider
  • Plan and execute events and guest experiences with a hospitality-first mindset
  • Keep the estate manual current and reflective of expectations at all times
  • Manage HOA relationships and maintain a positive presence in the surrounding community
  • Stay closely aligned with the broader operations team on scheduling, compliance, and coordination

WHO YOU ARE

You're independent, discreet, and service-oriented to your core. You've spent years running private residences at a high level, and you understand the difference between a well-maintained home and a truly exceptional one. Mountain environments - seasonal demands, remote logistics, the culture of a place like Aspen - feel familiar to you, not like obstacles.

People trust you quickly: staff, vendors, neighbors, and family members of all ages. You don't need to be the most visible person in the room. You just need everything to work.

QUALIFICATIONS

  • Minimum 7 years of full-time experience as a private Estate Manager, ideally with a hospitality background
  • Bilingual in English and Spanish,  written and spoken,  preferred
  • Proficient in Microsoft Office and comfortable with smart home and building automation systems
  • Valid driver's license required
  • Must live within approximately 20–30 minutes of the properties
  • Must pass a thorough background check and reference verification
  • Must be authorized to work in the United States

COMPENSATION & BENEFITS

  • Starting salary of $180,000–$200,000, commensurate with experience
  • Full benefits package including medical, dental, vision, life insurance, and paid time off
  • Housing or housing support in the Aspen area provided
  • The family is invested in making sure the right person is set up to thrive - not just in the role, but in the community
