Job description

The Opportunity
The Sample & Production Coordinator is responsible for the organization, tracking, and distribution of all incoming and outgoing samples across the company. This role serves as a key liaison between Production, Sales, PR, and other departments to ensure timely sample availability and alignment of priorities. In addition, this position provides direct support to the Production team by coordinating shipment logistics, preparing documentation, and ensuring efficient movement of goods internationally.
What you'll get to do
  • Coordinate and manage all sample requests across departments, including PR, Celebrity/VIP, Wholesale, Retail, Trunk Shows, Production, and special projects.
  • Maintain and update sample tracking systems to ensure full visibility of sample location, status, and availability.
  • Communicate shipping, messenger, and delivery status updates to relevant stakeholders in a timely manner.
  • Partner with cross-functional teams to prioritize sample usage and maximize exposure opportunities while avoiding scheduling conflicts.
  • Monitor global shipping and logistics conditions to anticipate delays and proactively resolve issues.
  • Support Production with shipment execution, including duplicate production shipments, urgent deliveries, and routing coordination.
  • Prepare production trims for supplier
  • Prepare and review shipping documentation (e.g., commercial invoices, packing lists, and Carnets for international shipments) in collaboration with freight forwarders and internal teams.
  • Ensure all shipments comply with international and domestic shipping regulations and company standards.
  • Maintain organization and cleanliness of the Sample Closet, ensuring all samples are properly stored and easily accessible.
  • Inspect samples upon return to confirm they are in pristine condition; coordinate repairs, pressing, or alterations with in-house or external resources as needed.

A reasonable estimate of the current hourly rate is $25/hour-$30/hour USD.

  • 2-4 years of experience in sample coordination, logistics, production support, or a related role (fashion/apparel industry preferred).
  • Strong understanding of shipping processes, including domestic and international logistics.
  • Experience in preparing shipping documentation (Carnets, commercial invoices, etc.).
  • Exceptional organizational skills with the ability to manage multiple priorities in a fast-paced environment.
  • Strong communication and problem-solving abilities.
  • Detail-oriented with a focus on accuracy in tracking and documentation.
  • Knowledge of Fashion GPS or similar sample tracking tool
  • Proficiency in Microsoft Office
