Job description

WHAT YOU'LL DO

We are seeking a technically skilled and process-oriented CRM Administrator to oversee and optimize the systems, workflows, and automations that support the full panelist lifecycle. In this role, you will own the organization's Panel facing CRM ecosystem, design scalable operational processes, and leverage automation and AI to improve efficiency, data quality, and the panelist experience.

You'll partner closely with Operations, Engineering, Product, and Support teams to translate business needs into scalable system solutions that support recruitment, onboarding, engagement, retention, support, and offboarding.

The ideal candidate is analytical, highly organized, technically proficient, and experienced in building CRM solutions, workflow automations, and operational systems in a fast-paced environment.

THE DAY-TO-DAY
  • Own the administration, configuration, and ongoing optimization of the organization's CRM platform and panel management systems.
  • Design, build, and maintain scalable workflows and automations that support the full panelist lifecycle, including recruitment, onboarding, engagement, retention, support, and offboarding.
  • Develop AI-powered workflows and intelligent automations to improve operational efficiency, reduce manual processes, enhance support operations, and optimize panel management.
  • Partner with cross-functional stakeholders to identify operational challenges and translate business requirements into scalable system solutions.
  • Monitor system performance, workflow effectiveness, and data quality, proactively identifying opportunities for improvement.
  • Create and maintain dashboards, reports, documentation, and process maps to support operational visibility and decision-making.
  • Manage integrations between CRM platforms, internal databases, and third-party applications using APIs and automation tools.
  • Troubleshoot system issues, investigate workflow failures, and provide technical support for operational teams.
  • Recommend and implement continuous process improvements that enhance scalability, operational efficiency, and the panelist experience.
  • Ensure system configurations, workflows, and data management practices align with organizational policies, security standards, and compliance requirements.
GREAT TO HAVE
  • 3-7 years of experience in CRM administration, systems management, operations technology, or a related technical operations role.
  • Hands-on experience administering CRM platforms and building workflow automations.
  • Experience designing scalable operational processes and lifecycle automations.
  • Experience with AI tools, automation platforms, and intelligent workflow solutions, with the ability to identify opportunities to improve operational efficiency.
  • Experience working with APIs, system integrations, or low-code/no-code automation platforms.
  • Strong analytical, troubleshooting, and problem-solving skills.
  • Ability to manage multiple priorities and projects independently.
  • Excellent communication and cross-functional collaboration skills.

Base compensation range: $100,000 - $130,000
In accordance with California law, the range provided is Viant's reasonable estimate of the compensation for this role.  Final title and compensation for the position will be based on several factors including work experience and education.
