About the Role

Are you a detail-driven payroll administrator who thrives on accuracy and compliance? We’re looking for a Senior Payroll Specialist to take ownership of our payroll operations and play a key role in supporting our Human Resources team. In this position, you’ll ensure every employee is paid accurately and on time while contributing to a broad range of HR functions that keep our organization running smoothly. Due to the collaborative nature of this role, the position requires full-time, on-site presence at our Franklin, TN office.

Reporting to the Vice President of Human Resources, you’ll be a trusted partner across the organization—bringing expertise, reliability, and a solutions-oriented mindset to everything you do.

What You’ll Do

As our Senior Payroll Specialist, your core responsibilities will include:

Payroll Processing & Administration

  • Process weekly payroll for all Wesley companies, ensuring timely and accurate compensation for every team member.
  • Manage payroll updates including new hires, terminations, and pay rate changes in ADP.
  • Prepare and maintain accurate records and reports of all payroll transactions.
  • Generate payroll reports on an as-needed basis using ADP.

Tax Compliance & Reporting

  • Ensure timely and accurate payment and reporting of payroll taxes, including quarterly and annual filings.
  • Review quarterly and annual wage and tax reports for accuracy; process corrections and preview W-2s prior to distribution.
  • Identify and resolve payroll tax discrepancies and irregularities.
  • Research and maintain ongoing compliance with all federal, state, and local payroll tax requirements.
  • Process tax checks, electronic deposits, and monthly filings.
  • Ensure accurate taxation of various employee benefits and deductions.

Benefits & Leave Administration

  • Manage the 401(k) contribution and loan process, coordinating between American Funds and ADP.
  • Process and balance weekly 401(k) payroll contributions and oversee year-end compliance and audits.
  • Manage the leave of absence process for employees in ADP.
  • Process weekly HSA contributions and monthly employer contributions.
  • Process involuntary deductions, including wage garnishments.
  • Serve as backup for benefits administration as needed.

General HR & Compliance Support

  • Respond to unemployment claims from various state agencies.
  • Ensure compliance with all applicable federal, state, and local payroll, wage, and hour laws.
  • Facilitate audits by providing necessary records and documentation.
  • Monitor the HR inbox for employee inquiries and process new hire, termination, and change forms.
  • Identify and recommend improvements to payroll processing software, systems, and procedures.
  • Assist with coordinating catering and arrangements for monthly All Hands meetings and company celebrations.
  • Perform other related duties as assigned.

Education & Experience

  • Minimum of five years of payroll administration and HR experience required.
  • Experience with ADP payroll systems strongly preferred.
