Job description

The Administrative Assistant provides administrative and operational support to the Senior Vice President of Marketing and the Senior Vice President of Market Access & Clinical Affairs. This role serves as a key partner to leadership teams by coordinating schedules, supporting meetings and events, managing department operations, and facilitating cross-functional collaboration.

The ideal candidate is highly organized, proactive, adaptable, and able to manage multiple priorities in a fast-paced environment. The role requires sound judgment, strong communication skills, attention to detail, and the ability to handle sensitive and confidential information with discretion

MAIN DUTIES/RESPONSIBILITIES

Executive and Team Support

  • Manage complex calendars for executive leaders, including scheduling meetings, coordinating priorities, and resolving scheduling conflicts.
  • Coordinate travel arrangements, including itineraries, logistics, and expense reporting.
  • Prepare meeting materials, presentations, agendas, and other business documents as needed.
  • Provide administrative support to leadership teams and department initiatives as needed.

Meeting, Event & Training Coordination

  • Plan and coordinate meetings, leadership sessions, and team events.
  • Manage meeting logistics, including venue arrangements, catering, virtual meeting platforms, attendee communications, and meeting materials.

Department Operations

  • Process invoices, purchase requests, reimbursement requests, and expense reports in accordance with company policies.
  • Maintain department files, records, distribution lists, and organizational documentation.

Administrative Excellence & Continuous Improvement

  • Respond to requests for information and assist with department communications.
  • Identify and implement process improvements that enhance efficiency, organization, and team effectiveness.
  • Maintain confidentiality of sensitive business information.
  • Support special projects and perform other duties as assigned. 
QualificationsEducational Requirements:
  • Associate degree or equivalent combination of education and experience.
Required Experience:
  • 5+ years of progressively responsible administrative support experience.
  • Experience supporting senior leaders and managing competing priorities.
  • Strong proficiency with Microsoft Office Suite, including Outlook, Word, PowerPoint, Excel, and Teams.
  • Excellent organizational, planning, and time management skills.
  • Strong written and verbal communication skills.
  • Demonstrated ability to exercise discretion and maintain confidentiality.
  • Ability to work independently and anticipate business needs in a fast-paced environment.
Preferred Experience:
  • Experience with expense management, travel coordination, procurement, and contract workflows.
