Baton Rouge General Medical CenterJob Title: Medical Education & GME CoordinatorShape the Future of Medical Education at Baton Rouge GeneralWhat We're Looking For:

We are seeking a highly organized, detail-oriented professional who is passionate about supporting physician education, residency programs, and medical student clerkships. Operating within our active Graduate Medical Education (GME) department, the ideal candidate will serve as a central coordinator for visiting resident rotators and medical students, provide vital cross-functional backup support to our residency program coordinators, and collaborate with our Hospital Medicine Group (HMG) coordinators to support the clinical faculty who train our learners.

The ideal candidate thrives in a collaborative healthcare environment, manages multiple priorities effectively, and enjoys coordinating complex educational initiatives.
Qualifications & Requirements:
  • Experience:Four (4) years of administrative experience required; experience in a medical education, GME, or academic healthcare environment is strongly preferred.

  • Education:College-level business coursework or equivalent associate/bachelor's degree preferred.

  • Technical Knowledge:Familiarity with residency management platforms (e.g., MedHub, New Innovations, QGenda), the Electronic Residency Application Service (ERAS), and ACGME WebADS is highly desirable.

  • Core Skills:Strong organizational, scheduling, database management, and credentialing verification skills.

  • Discretion:Proved ability to handle highly sensitive, confidential, and HIPAA-regulated information.

What You Will Do:

Perform and coordinate a wide variety of professional-level duties supporting medical education programs within Baton Rouge General Medical Center. This role serves as a key operational resource for Graduate Medical Education (GME), Undergraduate Medical Education (UME), and Continuing Medical Education (CME) activities.

Key Responsibilities:1. Outside Rotator & Visiting Resident Coordination
  • Serve as the primary point of contact for outside residents and fellows requesting elective rotations at Baton Rouge General.

  • Coordinate and track institutional affiliation agreements.

  • Manage onboarding clearances for visiting trainees, including malpractice/liability insurance verification, occupational health clearances, and systems access.

  • Facilitate Electronic Medical Record (EMR) training and other onboarding activities for all incoming rotators.

2. Medical Student (UME) Rotation Management
  • Coordinate undergraduate medical student clinical rotations and clerkships in partnership with affiliated medical schools.

  • Manage medical student applications and assist with scheduling.

  • Coordinate student orientations, distribute rotation schedules, and ensure evaluations are completed and returned to home institutions on time.

3. Residency Program & Hospital Medicine Group (HMG) Cross-Support
  • Maintain active cross-training across Baton Rouge General's residency programs to provide seamless administrative backup to Residency Program Coordinators during peak seasons, leaves of absence, or accreditation cycles.

  • Work with Hospital Medicine Group (HMG) coordinators to provide physician support and streamline educational scheduling and rotation logistics with Internal Medicine (IM) and Family Medicine (FM) hospitalist faculty who primarily train clinical learners.

  • Assist with residency recruitment season operations, including processing applications, organizing interview days, catering, and coordinating applicant communication.

4. CME & General Program Support
  • Assist with assessing educational needs and coordinating CME offerings to meet organizational, state, and regulatory requirements.

  • Manage logistics for educational activities, including meeting spaces, virtual meeting links, audiovisual equipment, catering, and participant tracking.

  • Support the GME office with institutional accreditation reviews, data collection, and financial tracking/expense reporting as requested.

  • Perform additional duties and special departmental assignments as needed.
