Job Title: Senior Administrative Coordinator

Assignment Type: Contract-to-Hire

Pay: $28.00 - $30.00 per hour

Work Schedule: Monday-Friday | 8:00 AM - 5:00 PM | 100% Onsite

About the Company:

Addison Group is partnering with a respected nonprofit organization seeking a Senior Administrative Coordinator to support executive leadership and oversee day-to-day administrative operations. This role is ideal for an experienced administrative professional who enjoys managing multiple priorities, improving office processes, and leading administrative support functions in a mission-driven environment.

 

Job Description:

The Senior Administrative Coordinator will provide executive-level administrative support while ensuring efficient office operations across multiple departments. This individual will partner closely with senior leadership, coordinate department-wide administrative initiatives, oversee front office operations, and supervise the receptionist. The ideal candidate is highly organized, collaborative, and passionate about supporting a meaningful mission.

 

Key Responsibilities:

  • Provide comprehensive administrative support to executive leadership, including complex calendar management, meeting coordination, travel arrangements, and scheduling.
  • Organize meetings by preparing agendas, presentations, reports, and meeting materials while documenting notes and tracking follow-up items.
  • Draft, edit, and distribute professional correspondence, reports, presentations, and confidential documents.
  • Manage incoming communications, prioritize requests, and route inquiries appropriately.
  • Process purchase requests, expense reports, invoices, and other administrative documentation.
  • Coordinate department calendars, meetings, trainings, special events, and leadership initiatives.
  • Standardize administrative procedures, templates, and documentation to improve consistency across teams.
  • Collect, organize, and submit reports and departmental information for leadership.
  • Assist with onboarding and administrative orientation for new team members.
  • Oversee daily office operations, including reception, conference room scheduling, office supplies, mail distribution, and shared resources.
  • Supervise and provide guidance to the receptionist while promoting excellent customer service.
  • Serve as the primary point of contact for facilities, technology, security, and other internal support teams.
  • Identify opportunities to improve administrative workflows and office efficiency.
  • Foster collaboration among administrative staff and support cross-functional communication.

 

Qualifications:

  • High school diploma or equivalent required.
  • Previous experience as an Executive Assistant, Office Manager, Senior Administrative Assistant, or similar administrative leadership role.
  • Demonstrated career progression in administrative support positions.
  • Prior experience supervising or leading administrative staff.
  • Background working within a nonprofit or mission-focused organization strongly preferred.
  • Experience coordinating large meetings, events, or organizational initiatives.
  • Strong proficiency with Microsoft Office Suite, including Outlook, Word, Excel, PowerPoint, and Teams.
  • Excellent organizational, communication, and multitasking skills.
  • Ability to maintain confidentiality and exercise sound judgment.
  • Comfortable working independently while partnering effectively with executive leadership and cross-functional teams.
  • Professional, compassionate, and service-oriented approach with strong interpersonal skills.
