We are seeking a detail-oriented and dependable Billing Assistant to support our billing team with a variety of administrative and operational tasks. This role is responsible for handling incoming and outgoing correspondence, managing documentation, assisting with billing processes, and ensuring timely and accurate communication with patients, payors, and attorneys. This position is primarily office-based, with occasional remote work opportunities depending on business needs.
What You'll Do
  • Open, sort, and route incoming mail
  • Distribute incoming faxes and manage outgoing fax communications
  • Collect mail from the post office as needed
  • Handle in-office mailing tasks, including responses to:
    • Insurance correspondence
    • Attorney requests
    • Verification requests and subpoenas
  • Scan and attach correspondence to patient files in Salesforce
  • Submit claims via fax or mail as required by payor accounts
  • Respond to medical records requests and issue invoices accordingly
  • Send attorney follow-up letters and lien request follow-ups
  • Update tasks and maintain accurate records in Salesforce
  • Prepare and send new files to attorneys
  • Manage new case files through initial stages until shipment, as needed
  • Respond promptly to patient and payor inquiries
  • Maintain accurate patient and payor information, including documenting all communications
  • Assist with appeals by compiling and submitting supporting documentation
  • Follow company billing policies and procedures consistently
  • Communicate any potential issues to the Billing Manager in a timely manner
  • Perform additional duties and special projects as assigned

Requirements

  • Prior experience in a medical office or medical billing environment is preferred, but not required
  • Comfortable working with computers, phones, and standard office equipment
  • Proficiency with email and Microsoft Outlook
  • Strong keyboarding and data entry skills
