Administrative Assistant

The Air Line Pilots Association, International (ALPA), the largest airline pilot union in the world and the largest non-governmental aviation safety organization in the world seeks an experienced Administrative Assistant for the United Master Executive Council (MEC) Office in Rosemont, IL representing the 18,800 pilots flying for United.  The Administrative Assistant provides general administrative support to successfully meet the United Master Executive Council’s (MEC’s) goals and initiatives in the areas of MEC office workflow, UAL MEC meetings and events, expense reporting, and provides timely backup support to ensure that administrative workflows and assignments are completed promptly and effectively. 

Working closely with the Office Supervisor and colleagues, they provide direct administrative support for events, meetings, and Committees, as assigned; and, provides Committee, Event Planning, and Reception backup support as often as needed.  They will also assist in other committee support as assigned by Supervisor. 

Travel:  0 - 2%.

Minimum Requirements:

  • High school diploma or the equivalent combination of education and experience.
  • Two (2) years of related experience, three (3) or more years preferred; or, the equivalent combination of education and experience.
  • Experience with proofreading and editing preferred.
  • Proficiency on personal computers and word-processing packages, specifically Microsoft 365.
  • Solid writing and communication skills, as well as effective interpersonal skills, diplomacy, and tact to work with all levels of employees, management, and membership.
  • Must be able to push, pull, and/or lift up to fifty (50) lbs. without assistance.
  • Software:  Microsoft Excel, Word, PowerPoint, and SharePoint required.  Others may be a plus.
  • Able to work flexible schedule on short-notice as needed.

Required to move, raise, reach, and/or retrieve binders, books, boxes, and files up to fifty (50) pounds (lbs.).  Sporadically and/or while on travel, could be responsible to move, raise, reach, and/or retrieve luggage weighing as much as 50 lbs.  (Assistance may not always be available.)

  • 401k Plan with Non-Elective Employer Contribution of 11% plus 3% contribution into a Market-Based Cash Balance Plan after 180 days of employment.  No employee contribution required!  Employees can choose to make pre-tax, Roth, and after-tax contributions to the 401(k). The plan permits in-plan Roth conversions and has a 4-year vesting schedule. The MBCBP has a 3-year cliff vesting period;
