Responsibilities for Administrative Assistant 2 include but are not limited to:

ยท Manage complex calendaring for the CVP including meeting coordination, prioritization, and conflict resolution.

ยท Proactively align scheduling with shifting business priorities and ensuring optimal time allocation.

ยท Coordinate domestic and international travel arrangements, including itineraries and logistics.

ยท Prepare and submit accurate and timely expense reports.

ยท Partner with the AI Platform Administrative team and collaborate across the CoreAI organization.

ยท Work closely with HR, Staffing, Finance, and Facilities to support business operations and team needs.

ยท Manage and track headcount, including maintaining accuracy in related systems.

ยท Create job requisitions, support onboarding for new hires, and maintain distribution lists.

ยท Monitor space allocation, anticipate constraints, and coordinate individual and group office moves.

ยท Coordinate procurement of equipment for new hires and refresh cycles.

ยท Track and manage assets including updates to custodians, cost centers, and equipment transfers.

ยท Manage recycling and lifecycle tracking of IT assets.

ยท Review operating budgets and spending trends; proactively identify risks or overages.

ยท Partner with Finance to ensure accurate reporting and resolve discrepancies.

ยท Serve as interim approver for team expense reports, ensuring compliance and proper coding.

ยท Organize and manage offsites, team morale events, and cross-functional initiatives.

ยท Support large-scale organizational events such as All-Hands meetings.

ยท Aligning events with business cycles, product release schedules, and team priorities.

ยท Understand business rhythms and planning cycles to anticipate needs and optimize scheduling and support.

Pay Details: $34.79 per hour
