Finance and Administration Specialist – (Junior to Mid-Level)

Opportunity (Full-Time): The Hoplite Group is seeking a junior- to mid-level finance specialist to support administration and financial compliance of U.S. government contracts, as well as the onboarding of new hires. This is a remote position within a fast-growing, veteran-owned small business supporting government customers. Reports To: Administration and Finance Director

Position Summary: This role is approximately 80% financial administration and compliance support and 20% human resources and general administrative support. The position supports DCAA-compliant accounting processes, accounts payable and receivable, timekeeping, payroll support, employee onboarding and offboarding, and benefits administration. The ideal candidate is highly organized, detail-oriented, comfortable working independently, and able to manage multiple priorities while maintaining confidentiality, professionalism, accuracy, and strong documentation practices.

Essential Duties and Responsibilities:

  • Maintain contract-award documentation, modifications, deliverables, funding records, invoices, and other documentation, in accordance with FAR, DFARS, DCAA, prime contractor, and company policies.
  • Support invoice preparation, review, submission, payment-status tracking.
  • Support accounts payable and accounts receivable functions in QuickBooks Online and Rippling in accordance with DCAA-compliant accounting practices.
  • Maintain accurate accounting records, general ledger support, job-cost data, labor allocations, and supporting documentation for audit readiness.
  • Reconcile timekeeping, payroll, and accounting records; identify and route discrepancies for correction.
  • Support payroll-cycle activities, including timecard review, employee changes, payroll reports, and payroll-document retention.
  • Coordinate with internal project manager to collect, organize, and archive contract documentation.
  • Coordinate with project managers/employees to collect labor, expenses, deliverables, for invoicing.
  • Assist with proposal administration, including cost/price data collection, labor-rate inputs, pricing templates, and proposal-file maintenance.
  • Assist with customer portal administration, document submissions, reporting uploads, and other contract-administration requirements.
  • Coordinate pre-employment requirements, onboarding, policy acknowledgments, and required training.
  • Support employee onboarding and offboarding, including document collection, employment verifications, background checks, I-9 processing, and system access coordination.
  • Assist with benefits administration, employee changes, policy acknowledgments, required training documentation, and HR compliance tracking.

Qualifications and Desired Attributes:

  • At least one year of experience maintaining business financial records is required; experience with invoicing, accounts payable, accounts receivable, timekeeping, payroll support, or government-contract administration is strongly preferred.
  • At least two years of government contracting experience in accounting, finance, HR administration, contracts administration, compliance of government prime or subcontracts.
  • Proficiency in QuickBooks Online, Rippling, Microsoft Office, and Google Workspace.
  • Experience supporting employee onboarding and offboarding, benefits administration, personnel records, timekeeping, and payroll processes is preferred.
  • Strong attention to detail, organizational skills, written communication skills, and the ability to work independently in a deadline-driven environment.
  • Ability to handle sensitive financial and employee information with discretion and confidentiality.
  • Willingness to learn and longs to be part of dynamic team supporting U.S. Government contracts.

Work Environment: This is a primarily remote, computer-based position. The employee must be able to work effectively and independently in a virtual environment; regularly communicate with internal team members, clients, vendors, and government-contractors; and manage confidential financial, personnel, and contract information using company-approved systems and procedures.
