Administrative Assistant
Position Summary
  • Our client is seeking a highly organized and adaptable Administrative Assistant to support the company's back-office operations. This role will serve as a key resource across multiple functions, including administrative support, travel coordination, expense reporting, HR administration, and general business operations.
  • The ideal candidate is a mid-career professional with experience wearing multiple hats in a fast-paced environment. They should be highly organized, detail-oriented, technologically savvy, and capable of managing competing priorities with minimal supervision. Experience supporting government contractors and familiarity with accounting processes is highly preferred.
Key Responsibilities
Administrative & Operational Support
  • Provide administrative support to leadership and back-office teams.
  • Coordinate travel arrangements, itineraries, and expense reports.
  • Manage calendars, meetings, documentation, and internal communications.
  • Assist with special projects and company initiatives as needed.
  • Maintain organized electronic records and business documentation.
HR & Employee Support
  • Assist with onboarding and offboarding activities.
  • Support HR processes, employee communications, policy administration, and record maintenance.
  • Coordinate completion of employment-related documentation.
  • Serve as a resource for employees on administrative and HR-related questions.
Accounting & Business Administration
  • Assist with expense tracking, invoice processing, and general administrative accounting tasks.
  • Support collection and organization of financial documentation.
  • Partner with internal teams to ensure accurate recordkeeping and reporting.
  • Assist with vendor management and administrative compliance activities.
General Office Support
  • Support multiple departments and adapt to changing business needs.
  • Learn company operations and provide cross-functional support where needed.
  • Help ensure processes are completed accurately and efficiently.
  • Identify opportunities to improve administrative workflows and organization.
Qualifications
Required
  • 7+ years of administrative, operations, office management, or business support experience.
  • Proven ability to manage multiple priorities simultaneously.
  • Strong organizational and time management skills.
  • Excellent written and verbal communication skills.
  • High level of proficiency with Microsoft Office Suite and business systems.
  • Ability to work independently in a remote environment.
Preferred
