SUMMARY

The Admin plays a vital role in supporting the daily operations of the office by managing administrative tasks and ensuring efficient office functionality. This position organizes and schedules appointments, handles correspondence, prepares reports, and maintains filing systems. The Admin provides support to management and staff, including coordinating meetings, managing databases, and assisting with project work as needed. This role requires strong organizational skills, effective communication, proficiency in office software, and a proactive approach to problem-solving and time management.

RESPONSIBILITIES

  • Administer all testing for local applicants and coordinate badging and vetting.

  • Assist with recruiting, hiring, and training of local employees.

  • Maintain employee schedules.

  • Manage daily timekeeping entries, payroll processing, and assist with payroll-related issues.

  • Handle HR-related issues, communicate with corporate teams, and manage employee files.

  • Handle reports or information requested by Station Management.

  • Work on client-specific supply orders, reporting, and compliance.

  • Maintain strong working relationships with airline partners.

  • Demonstrate regular, predictable attendance at the job location.

  • Utilize programs such as Excel, Word, and PowerPoint.

  • Exemplify PrimeFlight customer service and safety standards.

  • Perform any additional duties as assigned by management.

QUALIFICATIONS

  • 18 years of age or older.

  • Eligible to work in the United States.

  • Must have a valid state-issued driver's license with an acceptable driving record.

  • Communicate effectively in English, including reading, writing, and speaking.

  • 1 year of experience in an office or administrative position.

  • Knowledge of Microsoft Office Suite, including Excel, Word, and PowerPoint.

  • Ability to access and interpret information in print and electronically, including the use of electronic devices such as iPads, tablets, computers, and mobile devices.

  • Effectively communicate with colleagues and clients, both in-person and through electronic means.

  • Pass a background check and drug screen.

  • Eligibility to acquire needed credentials and clearances, including FAA, TSA, Port Authority, U.S. Customs, and U.S. Postal, as applicable.

  • Airlines operate 24/7, so team members must be flexible to work various shifts including nights, weekends, and holidays.

  • To perform this job successfully, an individual must be able to perform each essential requirement satisfactorily.
