Administrative Coordinator

Location: Des Moines, IA, United States

At Waldinger, keeping our fleet running smoothly is critical to how we operate. We're looking for a detail-oriented professional to support our fleet function — bringing both organizational precision and a proactive approach to keeping vehicles, records, and vendors on track.

What You'll Own
  • Fleet Administration: Support the setup and management of company fleet vehicles, including inputting vehicle data into systems and coordinating acquisitions and disposals.
  • Record Keeping: Maintain accurate, up-to-date records across maintenance history, repairs, registrations, licensing, and compliance documentation.
  • Preventative Maintenance & Safety: Track and schedule preventative maintenance tasks while ensuring adherence to DOT regulations and safety protocols.
  • Vendor & Request Coordination: Manage routine service requests with vendors, monitor open work orders, and route fleet-related questions to the right team member — prioritizing urgent needs.
  • Account Reconciliation & Reporting: Pull and reconcile account data across systems, providing reporting that supports budgeting, forecasting, and operational oversight.
What You Bring
  • Experience in fleet administration, operations coordination, or a related field
  • Strong attention to detail and comfort managing multiple priorities at once
