Job description

Job Title:  Customer Service Representative

Status:  Full-time, Non-Exempt

Hours:  Monday-Friday, 8:00am-4:30pm (Occasional overtime required) 

Rate of Pay:  $18-$19/hr depending on experience

Reports To:  Executive Director, Human Resources, Development

Works With:  Customers, Community Members and Office Staff

Job Purpose: To assist customers, coaches, and internal staff. To support as necessary, any department at KIDSPORTS to ensure that all programs run smoothly and efficiently. This position will assist in multiple departments such as Customer Service, Equipment Room and Programs

Duties and Responsibilities:

  • Conduct customer transactions. Register players using KIDSPORTS registration software. Process team registration fees for in-district and out-of-district teams. Enter and retrieve deferred payment information.
  • Listen to customers’ concerns, issues and questions and resolve to the best of your ability
  • Process Refunds and account credits on customer accounts
  • Prepare seasonal, quarterly and annual reports for facility fees, scholarships and other metrics
  • Answer multi line phone system. Direct calls to the appropriate person and department. Take accurate messages and respond to inquiries and emails in a timely manner.
  • Understand, and can answer a wide array of customer questions about KIDSPORTS rules, registration policies, organizational protocols, and schedules.
  • Complete various projects. Organize and maintain folders, files, reports, etc. Problem-solve and correct registration mistakes and inaccuracies with customer accounts. Compile and archive records of past registrations. Prepare coach packets for seasonal meetings. Help to coordinate and produce metered mail for large mailings.  Keep front-office organized and presentable. Update monthly calendar.
  • Cash handling & daily reconciling.

·         Maintain the accuracy and storage of office/operational files and orders.

·         Help maintain the facility and all inventories in a clean, safe, and accountable environment.

·         Escalate inquiries and requests as necessary to the appropriate department or person for follow up.

  • Provide assistance with the processing and notification of delinquent equipment client accounts.
  • Assist various departments as needed and identify tasks or projects during non-peak seasons.

Knowledge, Skills, and Abilities:

  • Exceptional ability to work cooperatively with others and create a positive, constructive relationship with staff, renters and the general public.
  • Attention to detail, ability to multi-task and a great problem-solving aptitude.
  • Excellent phone demeanor, email communication and interpersonal skills.
  • Proficiency in Office Suite programs, specifically Microsoft Word and Excel, including (but not limited to) data-entry skills and Photo Shop. Additional computer skills and knowledge are extremely helpful.
  • Bilingual a plus.

Qualifications: High School diploma required - some completed college course work preferred. Previous customer service experience is essential.

Office environment: Professional.  Activity in the office can vary seasonally, depending on the specific sport-season. Highest activity is expected during pre-determined registration deadline periods. Dress code is sport casual.
