Job description

Aviation Advisor, Inc. is seeking a detail-oriented and organized Bookkeeper to join our team at the Kenosha, WI location. The Bookkeeper will play a crucial role in supporting the accounting department and does serve as a direct interface with clients, aircraft owners and staff. This role requires strong communication skills, a keen eye for detail, and the ability to thrive in a dynamic and fast-paced environment.

Primary Responsibilities

  1. Invoicing: Create, review and distribute invoices, account statements, monthly aircraft owner’s statements and other financial reports as needed.
  2. Accounting Reconciliation: Review of aircraft activity folders, flight logs and expense reports to ensure accurate and prompt invoices reach clients in a timely manner.
  3. Account Management: Maintain and update aircraft fleet subscriptions and maintenance service plans to ensure compliance and proper billing. Maintaining accuracy of customer account information while exercising the highest level of confidentiality.
  4. Support: Work closely with and support multiple departments within the organization with accounting and administrative oversight. Must be able to work well with other members of the team.
  5. Payroll and HR Support: Assist with payroll and additional human resources support.
  6. Training: Effectively learn job responsibilities in order to train new employees on proper procedures.

Requirements

  • Bachelor’s degree preferred, but not required.
  • 2-5 years of applicable work experience preferred.
  • Excellent communication skills with the ability to interact professionally with internal and external stakeholders, including pilots, maintenance technicians, and regulatory authorities.
  • Ability to learn multiple accounting software platforms, primarily QuickBooks.
  • Proficient in Microsoft Office Suite.
  • Detail-oriented with a high level of accuracy in record-keeping and documentation.
  • Ability to prioritize tasks effectively and manage multiple projects concurrently in a fast-paced environment.
  • Flexible mindset with the ability to adapt to changing priorities and operational requirements.
  • Experience with processing expense reports, billing, invoices, payments and payroll.
