About Us

Hope Center for Behavior Change, Inc. is a growing Applied Behavior Analysis (ABA) therapy practice based in West Palm Beach, FL, dedicated to improving the lives of children and families through evidence-based behavioral health services. We are passionate about our clients, our staff, and building a strong, organized practice. We are looking for a driven, experienced Operations Manager to join our leadership team and help take our practice to the next level.

Job Summary

We are seeking a highly organized, experienced Operations Manager with a strong background in ABA practice operations. This role is the operational hub of our practice - you will work directly alongside the CEO to manage billing, insurance, scheduling, marketing, intake, staff coordination, and much more. The ideal candidate is self-motivated, detail-oriented, and has direct experience with CentralReach and ABA billing workflows.

Responsibilities
  • Manage full revenue cycle: billing, payment posting, ERA processing, and denied claims management
  • Submit and manage insurance authorizations for all active clients
  • Conduct monthly verification of benefits (VOB) for all clients
  • Maintain and update CAQH profiles; manage pre-credentialing and provider enrollment tasks
  • Manage TRICARE audit processes and ensure documentation compliance
  • Serve as the primary CentralReach platform administrator (scheduling, note audits, time clock, authorizations)
  • Perform daily clinical note checks for compliance and timely submission
  • Manage staff schedules and coordinate coverage for floating/support staff
  • Oversee Google Drive organization and company email management
  • Answer phones and manage all incoming communications professionally
  • Manage full intake workflows for new clients and new staff onboarding
  • Coordinate background checks and new hire documentation
  • Manage company social media accounts and post regular content
  • Support networking and community outreach to grow referral sources
  • Assist with implementation of new programs and service lines
  • Provide direct administrative and operational support to the CEO
  • Perform any additional duties as required by the CEO
Requirements
  • Minimum 2 years of hands-on CentralReach experience (REQUIRED)
  • Minimum 2 years of experience in an Operations Manager role (REQUIRED)
  • Experience in ABA billing, ERA processing, and revenue cycle management
  • Knowledge of CAQH management, insurance credentialing, and pre-credentialing
  • Familiarity with TRICARE billing and audit requirements preferred
  • Proficient in Google Workspace (Drive, Gmail, Docs, Sheets)
  • Strong organizational and multitasking skills with ability to manage competing priorities
  • Excellent written and verbal communication skills
  • Must maintain strict HIPAA confidentiality standards
  • Ability to work independently and take initiative
  • Must pass a background check
  • Valid Florida Driver's License required
  • Bachelor's degree preferred; relevant experience considered in lieu of degree
