Job Title: Operations Coordinator
Location: Seattle, WA
Direct Supervisor: Operations Director
Work Hours: 20 hours/week, occasional evenings for events, in-office with hybrid possibility
Status: Permanent, part-time hire

The Position
The Operations Coordinator at Washington Policy Center (WPC) plays a pivotal role in advancing our mission by managing the organization's payables and internal budget reporting. Reporting to the Operations Director, we seek an experienced administrative and bookkeeping professional with a track record in organization and accuracy. The ideal candidate will have expertise in managing accounts payable and receivable, general office management and a genuine interest in the organization's mission.
Key Responsibilities:
  • Recording all accounts payable and related expenses
  • Coordinating with our Operations Director to fulfill payments in a timely manner
  • Recording all contributions and working with our Development team to ensure our accounting and fundraising databases are reconciled.
  • Bank reconciliations for the organization's operating accounts
  • Providing detailed expense reports to department heads on a monthly basis and as needed.
  • Collecting and processing all incoming mail from our PO box.
  • Streamlining processes to optimize efficiency via new technologies like AI

Key Qualifications:
  • Bachelor's degree in a related field (e.g., nonprofit management, business, accounting, finance).
  • Minimum of 5 years of successful bookkeeping experience that demonstrates excellence in keeping accurate records and making timely payments.
  • Excellent interpersonal, communication, and negotiation skills.
  • Ability to build and maintain strong, sustained external and internal relationships.
  • Proficiency in accounting software, preferably QuickBooks Online.
  • Intermediate/Advanced Microsoft Excel.
  • Experience integrating AI tools such as Chat GPT and Co-Pilot.

Compensation/Details:
  • Compensation Range: $26-$32/hour
  • Hours: Part-time, 20 hours/week during business office hours (8:30am-5:00pm, Monday-Friday) plus a few opportunities each year for evening/weekend events. This position is non-exempt from overtime.
  • Work Location: Seattle office. Our expectation is that this position will work in the office a minimum of three days per week.
