As part of the Company's employment screening process, any applicant, to who an offer of employment is made must pass a test for controlled substances, under the procedures of World Oil Drug & Alcohol policy. Employment offers are conditioned on a negative test result.
Position Summary: The Operations Coordinator provides operational support to terminal dispatchers, sales, and operations. This role is the point of contact for all customer issues and must exhibit professional customer service. The Operations Coordinator reports directly to the Terminal Manager/Regional Manager and completes essential duties in the Operations department.
Essential Duties and Responsibilities:
  • Confers with customers by telephone or in person to provide information about products or services, take or enter orders, cancel accounts, or obtain details of complaints.
  • Sets up new accounts by providing the schedules and pricing of delivery.
  • Placing service orders on a daily basis at terminal level for line of business to support customer services as required.
  • Works with terminals to confirm orders printed and in the possession of dispatch, including all supporting paperwork is with service order and that if there are multiple waste streams, dispatch has all paperwork to avoid multiple runs or not being able to complete jobs due to not having correct paperwork.
  • Receives and communicates the estimated time of arrival for dispatch to the appropriate parties.
  • Communicates when orders are placed and when jobs will be scheduled to customers in a professional manner.
  • Ensures that new part washers are properly set up for service, ensuring that the accurate price and serial number are recorded into the correct systems to track use and maintenance.

Other Functions:
  • Recommends improvements in products, packaging, shipping, service, or billing methods and procedures to prevent future problems.
  • Performs other related duties as assigned.

REQUIREMENTS:
  • 1-2 years of customer service, administrative, operations, logistics or related experience.
  • Proficiency in Microsoft Office (Excel, Word, Outlook)
  • Strong verbal and written communication skills
  • Strong organizational skills and attention to detail.
  • Ability to work independently and as part of a team.
  • Professional and customer-focused demeanor.
